Job summary

ONTO Innovation Southeast Asia Pte. Limited is seeking a Logistics Coordinator to manage end-to-end freight across multiple modes, ensuring on-time delivery and accurate documentation.

You will liaise with freight forwarders, carriers, and 3PLs, while monitoring spend and performance metrics. The role requires 3+ years in freight coordination or logistics, knowledge of Incoterms, and experience with ERP systems.

Qualifications

• 3+ years of experience in freight coordination, shipping, 3PL management or logistics operations.
• Knowledge of domestic and international shipping, Incoterms, and basic customs processes.
• Experience with ERP systems such as SAP, Oracle, or similar logistics platforms.
• Strong attention to detail, communication skills, and problem-solving ability.
• Experience working with global supply chains or technology hardware shipments.

Responsibilities

• Coordinate end-to-end freight movements across air, ocean, truckload, LTL, parcel, and intermodal shipments.
• Filing international export information through ACE or other applicable customs entity.
• Ensure timely pickup, transit, and delivery by monitoring shipment statuses and troubleshooting exceptions.
• Prepare and validate shipping documents including commercial invoices, packing lists, and export paperwork.
• Communicate shipment schedules and updates to internal stakeholders.
• Serve as the day-to-day contact for freight forwarders, carriers, 3PLs, and customs brokers.
• Manage expedites and tracking information of key shipments as needed
• Visit 3PL regularly to review aging parts (inbound, outbound, etc.) and identify root causes.
• Publish the list to local management.
• Cost & Spend Support: monitor freight spend and support cost-saving opportunities.
• Compliance & Risk Management: ensure shipments comply with regulations and Incoterms.
• Systems, Data & Reporting: use ERP and shipment visibility platforms to execute bookings and generate reports.
• Cross-Functional Collaboration: work with Planning, Procurement, Manufacturing, Customer Service, and Warehouse teams.

Job description

Filing International Export information through ACE or other applicable customs entity

Ensure timely pickup, transit, and delivery by monitoring shipment statuses and troubleshooting exceptions such as delays, damages, and capacity constraints.

Prepare and validate shipping documents including commercial invoices, packing lists, and export paperwork.

Communicate shipment schedules and updates to internal stakeholders.

Serve as the day-to-day contact for freight forwarders, carriers, 3PLs, and customs brokers.

Manage expedites and tracking information of key shipments as needed

Visit 3PL regularly to review all aging parts at 3PL – inbound, outbound, FSE pick up, defective returns, etc.

Identify root cause of aging – IT issue, 3PL training, pending FSE action, etc.

Publish the list to local management

Cost & Spend Support

Help monitor freight spend, identify discrepancies, and support cost-saving opportunities such as consolidation and mode optimization.

Maintain accurate shipping cost records and support freight invoice auditing.

Compliance & Risk Management

Ensure shipments comply with international trade regulations, customs documentation requirements, and Incoterms.

Support preparation of documentation for audits, customs entries, and compliance checks.

Assist with escalation management during supply disruptions.

Systems, Data & Reporting

Use, ERP, and shipment visibility platforms to execute bookings, track shipments, and maintain accurate shipment data.

Generate operational reports including transit time, on-time performance, and freight spend summaries.

Cross-Functional Collaboration

Work closely with Planning, Procurement, Manufacturing, Customer Service, and Warehouse teams to support shipping priorities and resolve logistics issues.

Support new product launches, inventory movements, and project-based shipments as needed.

Participate in initiatives to streamline freight processes, improve data accuracy, and enhance service levels. Identify recurring issues and recommend corrective actions.

Qualifications
