Job summary

Onto Innovation Inc. is seeking a Freight Operations professional in Malaysia to coordinate end-to-end freight movements across air, ocean, truckload and more. You will file export documents and ensure timely pickup, transit, and delivery while communicating with internal teams.

The role requires ERP experience (SAP, Oracle) and strong attention to detail, with collaboration across Planning, Procurement, Manufacturing, and Customer Service to support launches and shipments.

Qualifications

• High school or college degree in supply chain, logistics, or related field.
• 3+ years in freight coordination, shipping, 3PL management or logistics operations.
• Knowledge of domestic/international shipping, Incoterms, and basic customs processes.
• Experience with ERP systems such as SAP, Oracle, or similar logistics platforms.
• Strong attention to detail, communication skills and problem-solving ability.

Responsibilities

• Coordinate end-to-end freight movements across air, ocean, truckload, LTL, parcel, and intermodal shipments.
• File export information through ACE or other applicable customs entity.
• Monitor shipment statuses and troubleshoot delays, damages, and capacity constraints.
• Prepare and validate shipping documents including invoices and export paperwork.
• Communicate shipment schedules and updates to internal stakeholders.
• Serve as the day-to-day contact for freight forwarders, carriers, 3PLs, and customs brokers.
• Generate operational reports including transit time, on-time performance, and freight spend sums.

Job Summary & Responsibilities

Freight Operations & Execution

• Coordinate end-to-end freight movements across air, ocean, truckload, LTL, parcel, and intermodal shipments.
• Filing International Export information through ACE or other applicable customs entity
• Ensure timely pickup, transit, and delivery by monitoring shipment statuses and troubleshooting exceptions such as delays, damages, and capacity constraints.
• Prepare and validate shipping documents including commercial invoices, packing lists, and export paperwork.
• Communicate shipment schedules and updates to internal stakeholders.
• Serve as the day-to-day contact for freight forwarders, carriers, 3PLs, and customs brokers.
• Manage expedites and tracking information of key shipments as needed

3PL service depot coordination

• Visit 3PL regularly to review all aging parts at 3PL – inbound, outbound, FSE pick up, defective returns, etc.
• Identify root cause of aging – IT issue, 3PL training, pending FSE action, etc.
• Publish the list to local management

Cost & Spend Support

• Help monitor freight spend, identify discrepancies, and support cost-saving opportunities such as consolidation and mode optimization.
• Maintain accurate shipping cost records and support freight invoice auditing.

Compliance & Risk Management

• Ensure shipments comply with international trade regulations, customs documentation requirements, and Incoterms.
• Support preparation of documentation for audits, customs entries, and compliance checks.
• Assist with escalation management during supply disruptions.

Systems, Data & Reporting

• Use, ERP, and shipment visibility platforms to execute bookings, track shipments, and maintain accurate shipment data.
• Generate operational reports including transit time, on-time performance, and freight spend summaries.

Cross-Functional Collaboration

• Work closely with Planning, Procurement, Manufacturing, Customer Service, and Warehouse teams to support shipping priorities and resolve logistics issues.
• Support new product launches, inventory movements, and project-based shipments as needed.

Continuous Improvement

• Participate in initiatives to streamline freight processes, improve data accuracy, and enhance service levels. Identify recurring issues and recommend corrective actions.

Qualifications

Required

• High School or College degree in Supply Chain, Logistics, Business, or equivalent work experience.
• 3+ years of experience in freight coordination, shipping, 3PL management or logistics operations.
• Knowledge of domestic and international shipping, Incoterms, and basic customs processes.
• Experience with ERP systems such as SAP, Oracle, or similar logistics platforms.
• Strong attention to detail, communication skills, and problem-solving ability.
• Computer experience- ERP system experience, Microsoft Outlook, Excel

Preferred

• Experience working with global supply chains or technology hardware shipments.
