Job summary

Grandmama’s, a renowned Malaysian restaurant brand, seeks an administrative assistant in Kajang to support daily operations from our Central Kitchen. You will handle data entry, filing, inventory updates, and invoice processing, ensuring records are accurate and compliant.

The role collaborates with 3PL providers, sources supplier quotations, maintains halal and HACCP documentation, and assists with audits and training records. Diploma or degree required; proficiency in MS Office is essential.

Qualifications

• Diploma or Degree in Business Administration, Food Science, Quality Management, or related field.
• Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).

Responsibilities

• Assist daily administrative duties including data entry and filing.
• Update and maintain inventory management system and stock records.
• Process supplier invoices with accurate data entry into accounting or inventory systems.
• Coordinate with 3PL providers for deliveries and shipment schedules.
• Assist in sourcing quotations and updating pricing records.
• Maintain Halal and HACCP documentation and related compliance records.
• Support Central Kitchen team with reports and audits and assist with ad hoc duties.

Job description

Assist to perform daily administrative duties, including data entry, document filing and maintaining accurate records.

Update and maintain the inventory management system, including stock movements, stock balance tracking and inventory records.

Process supplier invoices and ensure timely and accurate data entry into the accounting or inventory system.

Coordinate with third-party logistics (3PL) providers to arrange deliveries, collections and shipment schedules.

Assist in sourcing quotations from suppliers, comparing prices and updating pricing records as required.

Maintain and organize documentation related to Halal certification, HACCP compliance and other food safety requirements.

Compile, update, and maintain staff training records, attendance and related compliance documentation.

Provide administrative support to the Central Kitchen team, including preparing reports, coordinating documentation for audits and assisting with ad hoc duties assigned by management.

Requirements

Diploma or Degree in Business Administration, Food Science, Quality Management, or a related field.

Proficient in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
