Job summary

Georg Fischer Malaysia is seeking an Order Fulfilment Specialist to manage rental movements and sales order processing. You will coordinate with Sales, RSS, Warehouse, and Logistics to ensure timely order fulfilment and accurate SAP records.

The role requires 1–3 years in Order Fulfilment or related fields, SAP knowledge, and strong Excel skills. Fluency in English; Mandarin is a plus. On-site role in Klang.

Qualifications

• Experience in order fulfilment and logistics coordination.
• Proficient in SAP or ERP systems.
• Proficient in Microsoft Excel and Office applications.
• Excellent communication and problem-solving abilities.

Responsibilities

• Machine movement process: handle rental movements, issuance, transfers, returns, repairs, and inbound SAP transactions.
• Create and maintain rental contracts, delivery notes, and related movement docs.
• Ensure movements are updated and traceable in SAP from RSS data.
• Monitor and reconcile movement records to align locations with SAP data.
• Order entry: process all order administration for EDI and non-EDI orders.
• Check open orders, product availability, customer requirements, and delivery schedules.
• Incorporate customer notes and instructions during processing.
• Send order acknowledgements and delivery confirmations to customers.
• Order processing: advise on status, shortages, delivery dates, and price changes.
• Monitor backorders, stock, merge orders, set delivery dates, and release orders in SAP.
• Complete billing activities and submit invoices and documents (EDI, e-Invoicing, portal).
• Maintain records of invoice submissions and supporting documents.
• Maintain filing and documentation related to order fulfilment activities.

• Maintain efficient coordination and communication with Sales, RSS, Warehouse, Logistics, and other stakeholders to ensure timely order fulfilment.
• Support the Sales Development team in handling customer complaints, returns, exchanges, and issue resolution.
• Maintain accurate records and SAP transactions to ensure traceability of machine movements and order processing activities.

Job Responsibilities

• Machine movement process:
• Process machine rental movements, including machine issuance, transfers, exchanges, returns, repairs, and inbound transactions in SAP.
• Create and maintain rental contracts, delivery notes, and related machine movement documentation.
• Ensure all machine movements are accurately updated and traceable in SAP based on information provided by RSS.
• Monitor and reconcile machine movement records to maintain alignment between physical machine locations and SAP data.
• Order entry:
• Process all common order administration activities efficiently for both EDI and non-EDI orders.
• Check open orders, product availability, customer requirements, and delivery schedules.
• Ensure customer notes and special instructions are considered during order processing.
• Send order acknowledgements and delivery confirmations to customers.
• Order processing:
• Advise customers, suppliers, and transport providers on order status, product shortages, expected delivery dates, price changes, and possible solutions.
• Monitor backorder releases, check stock availability, merge orders when appropriate, set delivery dates, and release orders in SAP.

Job Requirement

• Seamless execution from order, book to ship through working closely with internal cross functional teams (Sales, Finance, Front Office, Logistic)
• Assigned to work on improvement projects to drive and achieve higher levels in service quality and customer satisfaction
• Be the single point of contact for customers for orders status and inquiries.
• Fluent in English and Mandarin is an advantage
• Good attitude, team player and adaptable to change

Experience

• Minimum 1-3 years of experience in Order Fulfilment, Customer Service, Logistics, Sales Administration, or a related role.
• Knowledge of ERP systems (SAP system is added advantage).
• Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
• Knowledge of CRM systems, such as Microsoft Dynamics, is an advantage.
