Job summary

Tsubaki Power Transmission (Malaysia) Sdn Bhd is seeking a motivated Sales Support professional in Shah Alam to manage customer inquiries and sales quotations. You will coordinate with distributors, dealers and end customers, ensuring complete information for quotes and timely delivery of proposals.

The role involves RFQ coordination, weekly reporting, and close collaboration with the Sales Team to drive wins.

Responsibilities

• Attend to all incoming enquiries from customers and sales personnel, ensuring that information for quotation preparation is complete and accurate.
• Handle sales enquiries from distributors, dealers, telephone, walk-ins and end customers promptly and professionally.
• Prepare and issue official quotations within the company's turnaround time.
• Request new RFQs from vendors and ensure specifications are clearly communicated.
• Follow up on MTO items and open quotations until closing as Won or Lost.
• Submit weekly order estimation reports to Managers via SharePoint before Monday.
• Review weekly sales activity reports for distributors and dealers to support monitoring.
• Update quotation summaries and related records in SharePoint for accurate sales information.
• Compile and submit Quotation Hit Ratio, Jet Report, and sales activity updates for MOR.
• Attend Sales Operation Meetings and provide updates and follow-ups.
• Maintain documentation of customer enquiries, quotations, RFQs, sales activities, and follow-ups.
• Coordinate with Sales Team, customers, distributors, dealers and vendors for timely processing of enquiries and quotations.

Attend to all incoming enquiries from customers and sales personnel, ensuring that all required information and criteria are complete and accurate for quotation preparation.

Handle sales enquiries received through distributors, dealers, telephone calls, walk-ins, and end customers in a timely and professional manner.

Prepare and issue official quotations to customers on behalf of the Sales Team within the company's stipulated turnaround time.

Request new RFQs (Request for Quotations) from vendors through PTNet and email, ensuring all required specifications and information are clearly communicated.

Follow up on Made-to-Order (MTO) items and open quotations within the company's stipulated timeframe until the quotation is successfully closed as either Won or Lost.

Review, prepare, and submit the weekly order estimation report to the respective Managers via SharePoint before Monday, ensuring the information is accurate and up to date.

Review and prepare weekly sales activity reports for distributors and dealers, where applicable, to support sales monitoring and follow-up activities.

Update and maintain the latest quotation summary and related records in the company's SharePoint system to ensure accurate and accessible sales information.

Compile and submit the Quotation Hit Ratio, Jet Report, and sales activity updates for inclusion in the Monthly Operation Report (MOR) to the respective Managers prior to the monthly sales meeting.

Attend and actively participate in Sales Operation Meetings as scheduled by the Company, including providing relevant updates and follow-up on assigned action items.

Maintain proper documentation and records of customer enquiries, quotations, RFQs, sales activities, and follow-ups in accordance with the Company's procedures.

Coordinate closely with the Sales Team, customers, distributors, dealers, and vendors to ensure smooth and timely processing of sales enquiries and quotations.
