Job summary

Leschaco (Malaysia) Sdn. Bhd. in Bandar Bukit Raja, Selangor is seeking an Import Operations Executive to support our import workflows and ensure shipments are processed smoothly.

You will handle pre-alerts, documents, invoicing, and data entry in ABS and EDI/K4, coordinating with agents and field staff. The role requires 1–2 years in import operations, strong attention to detail, good communication, and proficiency with logistics software.

Qualifications

• Minimum 1–2 years of experience in import operations, customs clearance or related role.
• Good knowledge of import documentation, customs regulations and clearance procedures.
• Strong attention to detail with the ability to work accurately under pressure and meet deadlines.
• Good communication skills, both written and verbal, with the ability to liaise effectively with customers, agents and internal teams.
• Proficient in relevant software and systems used for import/customs operations.
• Flexible and adaptable to changes in processes and procedures.
• A team player with a positive attitude and willingness to learn.

Responsibilities

• Receive pre-alerts and shipping documents and create jobs in ABS.
• Upload pre-alerts and documents into the ABS Archive.
• Prepare and book invoices, including supporting documents, and ensure costs are booked on time.
• Check shipment ETA, update customers, and request arrival notices, freight invoices and DG lists.
• Prepare payment vouchers for local charges.
• Prepare LOI/LOA/LOU and forward them for release of EDO/IID.
• Follow up with shipping/freight agents to ensure timely release of documents.
• Coordinate and delegate jobs to field operation clerks for document collection/dispatch.
• Notify customers of shipment arrival and charges.
• Follow up on container deposits and returns.
• Assist in preparing customs manifests and/or declarations, including data entry into EDI/K4 systems.
• Assist in preparing Delivery Orders for LCL trucking and Gate Pass issuance.
• Coordinate with hauliers for timely pull-out of containers.
• Maintain shipment data including ATA and milestones in ABS.
• Provide relief support to Operations/Documentation personnel during absences.
• Maintain good relationships with customers and third parties.
• Perform other duties as assigned.

Job description

We are seeking a Import Operations Executive to join our team at Leschaco (Malaysia) Sdn. Bhd. in Bandar Bukit Raja, Selangor. This role will be responsible for supporting our Import operations and ensuring shipments are processed smoothly and efficiently.

What You'll Be Doing

Receive pre-alerts and shipping documents from overseas agents and/or customers and create jobs in ABS.

Ensure all relevant pre-alerts and shipping documents are correctly uploaded into the ABS Archive.

Prepare and book incoming and outgoing invoices, including supporting documents, and ensure outlays and costs are booked in ABS on time.

Check and follow up on shipment ETA, update customers, and request arrival notices, freight invoices and DG lists from shipping/freight agents.

Prepare payment vouchers for local charges and container deposits for submission to the Accounts Department.

Prepare necessary LOI/LOA/LOU and forward them to shipping/freight agents together with ACH remittance advice for the release of EDO/IID.

Follow up with shipping/freight agents to ensure timely release of documents.

Coordinate and delegate jobs to field operation clerks for document collection and/or dispatch.

Notify customers of shipment arrival together with charges advice/invoices.

Follow up with shipping agents for the return of container deposit cheques after shipment completion.

Assist in preparing and submitting customs manifests and/or customs declarations, including data entry into EDI/K4 systems.

Assist in preparing Delivery Orders for LCL trucking, haulage requests and Gate Pass issuance through West Port and North Port systems for FCL trucking.

Follow up on empty container returns from consignees and coordinate with hauliers for timely pull-out to the depot.

Maintain and update shipment data, including ATA and milestone information, in ABS.

Coordinate closely with Field Operations on the collection of DOs, cheques and customs clearance matters.

Provide relief support to Operations/Documentation personnel during their absence.

Maintain good working relationships with customers, colleagues and third parties to ensure smooth operations and timely completion of tasks.

Perform other duties as assigned by the superior.
