About The Role
We are looking for a proactive and people-oriented Human Resources Executive to support our Malaysia office across the full spectrum of HR operations, recruitment, employee engagement, and HR projects.
Working closely with the regional HR team based in Singapore, you will serve as the key HR contact on the ground in Malaysia, ensuring smooth day-to-day HR operations while helping to strengthen our people practices, policies, and employee experience.
This is a hands-on, generalist role suited to someone who is comfortable balancing operational responsibilities with opportunities to improve processes, build relationships with stakeholders, and contribute to regional HR initiatives.
What You’ll Do
- Recruitment & Talent Acquisition
- Manage end-to-end recruitment activities for Malaysia, from job posting and candidate sourcing to screening, interview coordination, offer management, and onboarding.
- Partner with hiring managers to understand hiring needs, maintain recruitment momentum, and deliver a positive candidate experience.
- Maintain accurate recruitment records and provide updates on hiring progress, vacancies, and recruitment challenges.
- HR Operations & Employee Lifecycle
- Manage day-to-day HR operations for the Malaysia office, covering onboarding, employee documentation, employment contracts, confirmation, employee movements, and offboarding.
- Maintain accurate and up-to-date employee records, HR systems, and personnel documentation.
- Coordinate employee benefits administration, including medical insurance enrolment and claims‑related queries, and support payroll and compensation and benefits processes in collaboration with the regional HR team.
- Serve as the first point of contact for employees and managers on routine HR matters, providing timely guidance and escalating more complex issues when necessary.
- HR Policies, Documentation & Compliance
- Review, organise, and maintain HR policies, employment documents, the Employee Handbook, and other HR‑related materials to ensure they remain accurate, consistent, and fit for purpose.
- Support the review and standardisation of HR processes and documentation, identifying gaps and recommending practical improvements.
- Assist in ensuring HR practices and documentation are aligned with applicable Malaysian employment laws and regulatory requirements, in partnership with the regional HR team.
- Coordinate the communication and implementation of updated policies, procedures, and HR initiatives.
- Employee Engagement & Workplace Culture
- Support initiatives that strengthen employee engagement, workplace culture, and the overall employee experience in Malaysia.
- Build effective working relationships with employees and people leaders, providing practical HR support on day-to-day people matters.
- Support managers in navigating employee‑related concerns and workplace challenges, escalating sensitive or complex matters to the regional HRBP where appropriate.
- Help foster a positive, respectful, and collaborative working environment through consistent HR practices and effective communication.
- Regional HR Projects & Continuous Improvement
- Partner with the regional HR team on HR projects, including compensation and benefits reviews, policy updates, process improvements, and the rollout of new HR initiatives.
- Contribute to future talent and organisational initiatives, such as training needs identification, succession planning, and talent development.
What You Bring
- Diploma or degree in Human Resources, Business Administration, or a related discipline.
- Approximately 3–5 years of relevant HR experience, preferably in a generalist or HR operations role.
- Good working knowledge of Malaysian HR practices and employment legislation.
- Hands‑on experience in recruitment and the employee lifecycle, including onboarding, employee documentation, and offboarding.
- Strong organisational skills and attention to detail, with the ability to manage multiple priorities independently.
- Good interpersonal and communication skills, with the confidence to work with employees and people leaders at different levels.
- Sound judgement, discretion, and professionalism when handling confidential information and sensitive employee matters.
- A proactive, resourceful, and solutions‑oriented mindset, with the ability to identify gaps and follow through on improvements.
- Comfortable working independently on the ground while collaborating with a regional HR team.
- Experience with SuccessFactors is a plus but not required.
