Job summary

Clinical Research Malaysia (CRM) in Kuala Lumpur is seeking a HR Administrator on a 6-month contract to support payroll, benefits, and HRIS management.

You will ensure data accuracy, process monthly payroll, monitor entitlements, prepare letters, and assist with leave and resignation processes while adhering to ISO 9001:2015 and ISO 37001:2016 guidelines.

Qualifications

  • Bachelor’s degree in human resources, business administrative/management or equivalent�
  • At least 1-year relevant working experience preferably in human resources environment/field

  • Well versed in HR2000 payroll system will be an added advantage

Responsibilities

  • Create and update employee data in the HR system, including new joiner registration, employee movements, salary, allowances, benefits and other employment-related changes.
  • Manage and perform monthly payroll-related administration, including salary adjustments,allowances, arrears, deductions, employee benefits and other payroll-related transactions.
  • Monitor employee confirmation dates and assess eligibility for applicable allowances entitlements based on established criteria.
  • Verify and administer monthly employee entitlements, including Raya gifts, birthday gifts and newborn gifts upon receipt and verification of the required supporting documents.
  • Manage resignation-related payroll activities, including verification of outstanding leave balances payment for eligible unused leave, final salary processing, early release arrangements and payment in lieu of notice, where applicable and approved.
  • Retrieve, review and reconcile monthly salary deduction and ensure accurate updating of employee deduction records in the HR system and designated records.
  • Key-in Year-End payout, performance appraisal rating and employee performance bonus into the HR system.
  • Manage leave management in the HR system including leave cancellation, replacement leave, replacement leave for public holidays, setting up calendar for new year, update leave entitlement and carry forward leave to next year.
  • Monitor the administration of the employee performance appraisal process through the HR system, ensuring timely completion in accordance with the established appraisal cycle.
  • Maintain accurate employee records, HR databases, personnel documentation and HR-related information in accordance with established requirements.
  • Update the HR Directory on a monthly basis to reflect employee movements, including new joiners, resignations and internal transfers.
  • Support internal and external inquiries and requests related to the HR functions.
  • Issue out letters to employee including confirmation in employment and banking related matters.
  • Coordinate exit administration by monitoring the completion of exit interviews, employee checklists and handover documentation within the required timelines.
  • Adhere to policies, standard operating procedures, guidelines and processes provided under the ISO 9001:2015 Quality Management System and ISO 37001:2016 Anti-Bribery Management system requirements.
  • Carry out tasks related to Human Resources matters and participate in committee assigned to you by the management from time to time.

JOB SUMMARY (Major functions of the position) - 6-Month Contract

This position is designed to cover the operational and administrative functions of Human Resources matters including payroll, salary administration, compensation & benefits including managing the HR system. This position is to adhere to ISO 9001:2015 Quality Management System and ISO 37001: 2016 Anti-Bribery Management System including all policies, standard operating procedures, guidelines, and processes.

KEY RESPONSIBILITIES

Create and update employee data in the HR system, including new joiner registration, employee movements, salary, allowances, benefits and other employment-related changes.
