Job summary

Jora Malaysia is seeking a Human Resources Assistant to support training and development activities, maintain training records, and ensure KPI targets are met. You will assist in recruitment, onboarding, attendance management, and foreign worker documentation while upholding ISO procedures.

The role requires a minimum diploma in HR or related field, 1-2 years HR experience preferred, and strong interpersonal and communication skills.

Qualifications

  • 1-2 years of relevant HR experience preferred; fresh graduates encouraged to apply.
  • Minimum Diploma in Human Resources, Business Administration or related discipline.
  • Strong interpersonal and communication skills.
  • Able to multitask and manage multiple HR tasks effectively.

Responsibilities

  • Assist the HR Manager in managing training and development activities, including Training Needs Analysis (TNA), training planning and coordination to training evaluation and preparation of the annual training report.
  • Maintain and update employees' training records and ensure training activities fulfil the required training hours and departmental KPIs.
  • Ensure all training-related procedures and documentation comply with the company's ISO management system, including Training Needs Analysis, training evaluation and other relevant requirements.
  • Manage employees' attendance records, including shift settings, overtime, leave applications and abnormal attendance records, ensuring records are accurate and properly maintained.
  • Closely monitor employees with poor or irregular attendance and liaise with Supervisors and relevant Department Heads for appropriate follow-up and corrective actions.
  • Assist in the recruitment and onboarding process for direct labour, including recruitment coordination, pre-employment documentation and onboarding arrangements.
  • Manage and monitor foreign worker-related matters, including levy, visa and other relevant documentation, ensuring records are properly maintained and updated.
  • Support the HR Manager and relevant departments in conducting employee performance evaluations, maintaining skill mapping and monitoring employees' competency development.
  • Support the HR Manager in coordinating and implementing internal and external HR communication activities and employee engagement initiatives.
  • Prepare HR-related letters, documents, reports and other correspondence as instructed by the superior, ensuring accuracy and proper documentation.
  • Coordinate with other HR/Admin team members and relevant departments to implement HR-related activities and ensure smooth day-to-day departmental operations.
  • Implement and maintain 5S practices within the workplace and ensure compliance with the company's 5S requirements.
  • Perform any other duties, responsibilities or assignments as may be reasonably assigned by the superior from time to time.
  • Able to multitask, prioritise and manage multiple tasks effectively.

Education

Minimum Diploma in Human Resources, Business Administration or any related discipline.

Relevant Field

Candidates with a background in Human Resource Management, Business Administration or a related field will have an added advantage.
