Job Description
We are looking for a Human Resource Executive / Senior Executive to join our HR team and support the human resource operations of the DSA Group of Companies.
The successful candidate will be responsible for managing and executing full-spectrum HR functions, ensuring effective manpower planning, timely recruitment, accurate payroll administration, proper employee documentation, compliance with employment legislation and effective implementation of HR policies and procedures.
For the Senior Executive level, the incumbent is expected to independently manage HR operational matters, provide guidance to junior HR personnel, support HR improvement initiatives and contribute to HR planning and process enhancement.
Key Responsibilities
1. Recruitment & Talent Acquisition
- Manage end-to-end recruitment activities from manpower requisition to onboarding.
- Coordinate with Department Heads and Hiring Managers on manpower requirements and recruitment priorities.
- Conduct resume screening, preliminary interviews and candidate assessments.
- Prepare offer letters, employment contracts, onboarding documents and employee movement documentation.
- Monitor recruitment progress, manpower status and time-to-fill.
- Liaise with recruitment agencies, job portals, educational institutions and other recruitment channels.
- Coordinate new employee onboarding and orientation programmes.
- Monitor probationary employees and coordinate confirmation processes.
2. Training & Development
- Coordinate Training Needs Analysis and annual training plans with relevant departments.
- Organise internal and external training programmes and employee development initiatives.
- Coordinate HRDC-related documentation and claims.
- Maintain training records, attendance and evaluation documentation.
- Monitor training effectiveness and employee development progress.
- Support competency development and employee skill enhancement initiatives.
- Prepare training reports and related documentation.
3. Disciplinary Management & Employee Relations
- Manage disciplinary matters including counselling, show cause letters, warning letters, suspension and domestic inquiry coordination.
- Conduct preliminary investigations relating to misconduct, absenteeism, attendance issues and employee grievances.
- Ensure disciplinary procedures are handled in accordance with Employment Act requirements and company policies.
- Maintain accurate and confidential disciplinary records.
- Support employee grievance handling and conflict resolution.
- Provide HR advisory support to Department Heads on employee management matters.
- Promote positive employee relations and workplace discipline.
4. Payroll, Attendance & Leave Management
- Manage monthly payroll preparation and verification, including attendance, overtime, allowances, deductions, claims and unpaid leave.
- Ensure payroll information is accurate and submitted within the required timeline.
- Monitor attendance, absenteeism, lateness, overtime and shift records.
- Administer employee leave and ensure leave records are accurate and up to date.
- Investigate and resolve attendance and leave discrepancies.
- Coordinate payroll updates for new hires, resignations, salary adjustments and final salary calculations.
- Support statutory submissions including EPF, SOCSO, EIS, PCB and HRDC-related requirements.
5. HR Administration & Documentation
- Maintain and update employee personal files, employment contracts and HR records.
- Ensure proper filing, confidentiality and safekeeping of employee and payroll information.
- Prepare regular HR reports including headcount, recruitment, turnover, attendance, leave, disciplinary and training reports.
- Coordinate documentation for confirmation, transfer, promotion, resignation and termination.
- Support HR audits, ISO documentation, internal audits and management reviews.
6. HR Compliance & Policy Management
- Ensure HR operations comply with the Employment Act 1955, applicable labour requirements and company HR policies.
- Support the implementation and communication of HR policies, SOPs and company regulations.
- Monitor compliance with statutory and labour-related requirements.
- Identify opportunities to improve HR processes, efficiency and service delivery.
7. HR Projects & Employee Engagement
- Support employee engagement, performance management, HR digitalisation and organisational improvement initiatives.
- Coordinate company events, employee activities and welfare programmes.
- Participate in HR process improvement and operational enhancement projects.
- Support management in organisation and manpower planning activities.
Requirements
- Bachelor’s Degree in Human Resource Management, Business Administration, Management or a related field.
- 5–8 years of relevant Human Resource experience.
- Experience in HRIS, attendance systems, payroll coordination and Microsoft Office applications.
- Good knowledge of Employment Act 1955, Malaysian labour regulations and HR operational processes.
- Experience in a manufacturing environment and multi-branch HR operations will be an added advantage.
- Strong experience in recruitment, employee relations, disciplinary management, payroll/attendance and HR administration.
- Good command of English and Bahasa Malaysia, both written and spoken.
- Strong communication, interpersonal, coordination and problem-solving skills.
- High level of confidentiality, professionalism and attention to detail.
- Able to work independently, manage multiple priorities and meet tight deadlines.
