We are looking for a proactive and organized HR & Admin Executive to manage a broad range of Human Resources and administrative functions. The role will be responsible for HR administration, full-cycle recruitment, employee relations, payroll and compensation & benefits, while ensuring smooth day-to-day administrative operations.
The ideal candidate should have strong attention to detail, good communication and interpersonal skills, the ability to handle confidential information, and the confidence to manage HR matters independently.
Responsibilities:
1. HR & General Administration
- Manage administrative activities related to company operations and employee support.
- Process and coordinate vendor payments, including preparation and submission of relevant documents for payment processing.
- Manage the purchasing and procurement of office, HR and operational items, including sourcing, quotation comparison, purchase requests/orders and follow-up with vendors.
- Monitor purchasing requirements and ensure items are delivered on time and according to specifications.
- Manage and distribute Personal Protective Equipment (PPE) to new joiners and existing employees where required.
- Maintain proper records of PPE issuance and ensure adequate stock levels.
- Liaise with maintenance personnel, contractors and vendors regarding maintenance-related matters, including office/facility equipment, repairs and replacement items.
- Follow up on maintenance issues and ensure timely resolution.
- Maintain proper documentation and records for administrative activities, purchases, vendors and maintenance matters.
- Support other HR and administrative activities as required.
2. Recruitment – 360 Recruitment
- Manage the full recruitment cycle, from manpower requisition through to employee onboarding, including:
- Understand manpower requirements and work closely with hiring managers to define job requirements.
- Prepare and post job advertisements through appropriate recruitment channels.
- Source and identify suitable candidates through job portals, recruitment platforms, referrals, databases and other channels.
- Conduct pre-screening and initial interviews with candidates.
- Coordinate interviews between candidates and hiring managers.
- Conduct reference checks and other pre-employment checks where applicable.
- Manage salary discussions and offer negotiations within approved guidelines.
- Prepare and coordinate employment offers and required documentation.
- Follow up with candidates throughout the hiring process to ensure a positive candidate experience.
- Coordinate pre-employment documentation, medical checks and other requirements, where applicable.
- Manage the onboarding process for new joiners, including documentation, orientation and coordination with relevant departments.
- Ensure new employees are properly registered in relevant HR systems and company records.
- Maintain accurate recruitment records and monitor recruitment progress, vacancies and hiring timelines.
3. Industrial Relations (IR)
- Handle and provide administrative support for employee relations and Industrial Relations (IR) cases.
- Receive, document and follow up on employee complaints, grievances, disciplinary matters and other employee relations issues.
- Conduct investigations and gather relevant information and supporting documentation for IR cases.
- Coordinate with relevant managers and employees to ensure appropriate handling of employee relations matters.
- Prepare relevant documentation such as show-cause letters, warning letters, counselling records and other disciplinary documentation, where applicable.
- Ensure HR actions and documentation are handled consistently and in accordance with company policies and applicable employment requirements.
- Maintain confidentiality and proper records of all IR cases.
- Escalate complex or sensitive cases to the HR Manager/Management for further action.
a) Payroll
- Manage and coordinate the monthly payroll process to ensure accurate and timely salary processing.
- Prepare and verify payroll inputs, including attendance, overtime, allowances, deductions, leave, new joiners, resignations and other payroll-related changes.
- Liaise with payroll vendors/service providers and provide accurate information within the required timeline.
- Conduct payroll checking and reconciliation before final submission/processing.
- Handle payroll-related queries from employees and coordinate resolution with the relevant parties.
- Maintain accurate and confidential payroll records.
a) Insurance & Employee Benefits
- Liaise with insurance vendors/providers regarding employee insurance matters.
- Manage employee insurance registration and deletion, including new joiners, resignations and employee status changes.
- Maintain accurate records of employee insurance coverage and related documentation.
- Follow up with insurance providers regarding employee claims, coverage and other related matters.
- Coordinate renewal, updates and administrative matters related to employee insurance and benefits.
- Assist employees with general enquiries relating to compensation and benefits.
5. Other HR Responsibilities
- Maintain accurate and up-to-date employee records and HR documentation.
- Ensure HR records and employee information are kept confidential.
- Support HR projects, audits and process improvements as required.
- Ensure HR and administrative processes are carried out in accordance with company policies and applicable laws and regulations.
- Perform other duties and responsibilities assigned by the HR Manager or Management.
Requirements:
- Diploma/Degree in Human Resources, Business Administration, Management or a related field.
- Preferably 2–5 years of experience in HR and administration, with exposure to recruitment, payroll and employee relations.
- Experience handling Industrial Relations/employee relations cases will be an advantage.
- Good understanding of payroll and employee benefits administration.
- Experience liaising with external vendors, payroll providers and insurance providers.
- Strong organizational and time-management skills.
- Good communication and interpersonal skills.
- Able to handle confidential and sensitive information with professionalism.
- Detail-oriented with strong follow-up skills.
- Able to work independently as well as collaborate effectively with different departments.
- Proficient in Microsoft Office, particularly Excel, Word and Outlook.
- Good command of Chinese, English and Bahasa Malaysia; additional languages are an advantage.
