JOB RESPONSIBILITIES:
Payroll Management
Oversee the end-to-end payroll function for the Group of Companies, ensuring accurate and timely payroll processing and salary disbursement.
Review and validate all payroll transactions, including new hires, resignations, confirmations, promotions, transfers, salary adjustments, allowances, deductions, overtime, unpaid leave, and other payroll-related changes.
Ensure all employee movements, including new hires, confirmations, transfers, promotions, salary adjustments, resignations, and other employment changes, are accurately and promptly updated in the Info-Tech HRMS by the Payroll team to maintain payroll accuracy and data integrity.
Monitor payroll accuracy and ensure full compliance with company policies, employment legislation, and statutory requirements.
Lead the resolution of complex payroll issues and employee enquiries, providing guidance and support to the payroll team.
Statutory Compliance
Oversee payroll statutory submissions and ensure compliance with applicable laws and regulations.
Manage payroll tax administration in accordance with LHDN requirements and liaise with relevant government authorities on payroll and statutory matters.
Ensure timely submission, payment, and reconciliation of EPF, SOCSO, EIS, HRD Corp maintain compliance and payroll tax obligations.
Monitor changes in payroll, tax, and employment regulations, and implement updates processes to ensure remain compliant.
Oversee the administration of employee compensation and benefits.
Manage employee insurance matters, including enrolment, deletion, renewal, and claims.
Prepare and submit monthly insurance enrolment and deletion updates to the appointed insurance agent.
Support annual salary reviews, bonus exercises, and other compensation initiatives.
Maintain accurate and confidential employee compensation and benefits records.
Reporting & Payroll Analytics
Review payroll reports to ensure accuracy before payroll processing.
Prepare monthly payroll reports and analytics for Management, providing accurate insights to support business decisions.
Generate payroll-related reports, including payroll costs, foreign worker attendance and overtime, employee confirmations, and other HR reports.
Maintain payroll records and reporting dashboards.
Analyze payroll data and provide recommendations to support management decisions.
Perform any other duties assigned by Management from time to time.
Compliance & Audit
Ensure payroll records and documentation are accurate, complete, up to date, and audit ready.
Coordinate internal and external payroll audits by providing the required documentation and responding to audit queries.
Review and improve payroll controls and processes to minimize operational risks.
JOB REQUIREMENTS:
Degree or above in Human Resources or a related field.
Minimum 4–5 years of experience in payroll administration, compensation & benefits, or HR operations.
At least 3 years of experience in supervising or managing a team, with the ability to provide guidance, coaching, and support to team members.
Experience managing payroll for multiple companies or entities will be an added advantage.
Hands‑on experience with HRMS/payroll systems (Info‑Tech HRMS preferred).
Strong knowledge of Malaysian payroll practices and employment legislation.
Familiar with statutory requirements, including EPF, SOCSO, EIS, PCB, LHDN, HRD Corp, TP3, CP22, and EA Forms.
High level of accuracy, attention to detail, and ability to maintain confidentiality.
Proficient in Microsoft Excel and Microsoft Office applications.
Strong interpersonal and communication skills, with the ability to work effectively with employees, management, vendors, and government authorities.
