About the Role
We are seeking an experienced and hands-on HR & Admin Manager to join our team in Kuala Lumpur.
The HR & Admin Manager will be responsible for overseeing the organisation's human resources and administrative functions, ensuring effective people management, smooth daily administration and compliance with applicable Malaysian employment and statutory requirements.
This role will work closely with Top Management and department heads to support manpower planning, recruitment, employee relations, performance management, payroll and statutory matters, company policies, staff development and general administrative operations.
The ideal candidate is organised, proactive and commercially minded, with strong knowledge of Malaysian HR practices and the ability to manage both strategic HR matters and day-to-day operational requirements in a fast-paced hospitality and event environment.
Key Responsibilities
Human Resources Management
- Develop and implement HR policies, procedures and practices aligned with the company's business objectives and operational requirements.
- Manage the full employee lifecycle, including recruitment, onboarding, confirmation, transfers, promotions, performance management and employee separation.
- Oversee manpower planning and recruitment to ensure departments are adequately staffed according to business and operational needs.
- Coordinate and manage job advertisements, candidate screening, interviews, selection and offer processes.
- Maintain accurate and up-to-date employee records, personnel files and HR documentation.
- Manage employee attendance, leave, overtime, disciplinary records and other employee-related matters.
- Coordinate payroll preparation and ensure payroll information is accurate and submitted within the required timelines.
- Administer employee benefits, allowances and other HR-related matters.
- Handle employee grievances, disciplinary cases and workplace issues professionally and fairly.
- Advise management and department heads on HR policies, employee relations and people-related matters.
- Develop and implement employee engagement, welfare and retention initiatives.
- Coordinate staff training, development and career progression programmes.
- Support performance appraisal processes and ensure proper documentation and follow-up.
- Prepare HR reports, manpower reports and other management reports as required.
HR Compliance & Statutory Matters
- Ensure HR policies and employment practices comply with applicable Malaysian employment laws and regulations.
- Coordinate statutory matters relating to EPF, SOCSO, EIS, PCB and other relevant statutory requirements.
- Maintain proper documentation for employment contracts, staff records, disciplinary matters and statutory requirements.
- Keep management informed of relevant changes in employment legislation and HR requirements.
- Support the company in handling inspections, audits and enquiries from relevant authorities where required.
- Ensure company HR practices are consistently implemented across departments.
Administration Management
- Oversee the company's general administrative functions and ensure smooth day-to-day office operations.
- Establish and maintain proper administrative procedures, filing systems and documentation controls.
- Manage office supplies, stationery, staff facilities and other administrative requirements.
- Coordinate administrative matters with internal departments, vendors, service providers and external parties.
- Oversee company assets, office equipment and administrative resources where applicable.
- Coordinate company licences, renewals, registrations and other administrative documentation.
- Support management in preparing official letters, notices, internal communications and administrative documents.
- Assist in organising company meetings, staff activities, internal events and other corporate initiatives.
- Ensure administrative processes are efficient, cost-effective and properly documented.
Management & Business Support
- Work closely with Top Management and department heads to address manpower, employee and administrative matters.
- Provide HR and administrative advice to support business decisions and operational requirements.
- Develop and improve HR and administrative processes to enhance efficiency, accountability and staff productivity.
- Support organisational development and workforce planning as the company continues to grow.
- Prepare regular HR & Admin reports, updates and recommendations for management review.
- Undertake other HR, administrative and special projects assigned by Top Management.
What We're Looking For
- Bachelor's Degree in Human Resources Management, Business Administration, Management or a related discipline.
- Minimum 5 years of relevant HR experience, with at least 2 years in a managerial or supervisory role.
- Strong working knowledge of Malaysian employment practices, HR policies and statutory requirements.
- Hands-on experience in recruitment, employee relations, payroll coordination, performance management and HR administration.
- Experience handling disciplinary matters and employee grievances professionally.
- Familiarity with EPF, SOCSO, EIS, PCB and other relevant statutory requirements.
- Experience in managing HRIS, attendance systems and employee databases.
- Strong administrative, organisational and documentation skills.
- Excellent communication and interpersonal skills, with the ability to work effectively with employees at all levels.
- Strong problem-solving and decision-making abilities.
- Able to work independently while also collaborating effectively with management and department heads.
- Highly organised, detail-oriented and able to manage multiple priorities in a fast-paced environment.
- Good command of English and Bahasa Malaysia, both written and spoken.
- Proficient in Microsoft Office, particularly Microsoft Excel, Word and related administrative tools.
- Experience in the F&B, hospitality, retail, events or service industry will be an added advantage.
