Role Summary
We are looking for a proactive and organized HR & Admin Executive to manage our daily HR functions, office administration, and internal company events. In this role, you will ensure smooth workplace operations, maintain accurate employee records, and play a key role in coordinating company activities that foster a vibrant team culture.
Job Responsibilities:
Recruitment & Talent Coordination
Coordinate recruitment activities including job postings, candidate sourcing, resume screening, and interview scheduling with hiring managers.
Maintain candidate records and assist in ensuring a smooth recruitment process from application to onboarding.
Onboarding & Offboarding
Manage employee onboarding processes including preparing employment documentation, coordinating orientation sessions, and ensuring a positive onboarding experience for new hires.
Coordinate offboarding activities including exit interviews, documentation processing, and ensuring the return of company assets.
Event Management
Coordinate, plan, and execute all preparations and logistical arrangements for internal corporate events, including town halls, team-building activities, festive celebrations, and annual dinners.
Source, negotiate, and liaise with external vendors to identify suitable company event packages, compile quotation details, and recommendations.
Gather post-event employee feedback through surveys, and compile event reviews.
Learning & Development (L&D)
Assist management in researching external training programs and coordinating training logistics/schedules to support employee upskilling.
Maintain and track employee training records and certifications to support the future growth of the company's training framework.
HR Administration & Support
Maintain and update employee records, HR databases, and documentation to ensure accuracy and compliance.
Update the company’s Google Calendar with employee-related events, milestones, and company activities.
Maintain and update employee leave and attendance records in the HRMS system, monitor irregularities, and escal….
Coordinate and schedule internal company meetings, including mid-year appraisals, year-end performance reviews, and other administrative or departmental meetings as required.
Handle office administration, facilities, and company assets.
Provide first-level support for employee inquiries related to HR policies, leave matters, and general HR processes.
Assist with HR projects, audits, and other administrative tasks as assigned.
Job Requirements:
Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.
Minimum 2 to 3 years of relevant experience in Human Resources, HR Administration, or Office Operations.
Proficient in Microsoft Office, Slack, and Google Workspace.
Experience using HRMS systems (e.g., Infotech HRMS) will be an added advantage.
Fluent in written and spoken English and Bahasa Malaysia. Proficiency in Mandarin will be an added advantage.
Basic knowledge and experience of Learning & Development (L&D) administration, such as coordinating training schedules and tracking employee records is an added advantage.
Strong organizational and time management skills with high attention to detail.
Able to work independently while managing multiple tasks in a fast-paced environment.
Responsible, proactive, and able to maintain confidentiality when handling sensitive employee information.
