Job summary

Yokogawa is seeking a Sales Coordination Support in Malaysia to assist the Head of Department and Manager with coordinating project execution, procurement and submission to the Operations team. You will monitor equipment delivery, maintain calibration and loan records, and support data entry and reporting.

You will also handle travel arrangements, assist with travel expense claims and invoices, and coordinate with finance to resolve billing issues while ensuring ISO compliance.

Qualifications

• Diploma or degree in business administration or engineering.
• Strong analytical and problem-solving skills with attention to detail.
• Good communication and interpersonal skills with internal stakeholders.
• Proficient in English; MS Office familiarity (Excel, Word, PowerPoint).

Responsibilities

• Sales coordination support; assist Head of Department, Section Head and Manager in coordinating project execution, procurement and submission to the Operations team.
• Monitor delivery status of equipment from vendors to ensure timely arrival and resolve delays.
• Track and update equipment calibration and loan records for accuracy and compliance.
• Data entry and reporting; ensure timely entry of timesheet information into the project tracking system.
• Update and report project progress and resource usage to the Head of Department and Project Manager as required.
• Coordinate travel arrangements for department staff, including flights, accommodations and transport.
• Assist staff with submitting travel expense claims for reimbursement processing.
• Prepare and issue invoices for services rendered and monitor payment statuses.
• Collaborate with the finance team to resolve billing discrepancies and ensure timely payments.
• Ensure compliance with ISO 9001, 45001, 14001, and 27001 and assist audits related to ISO compliance.
