Job summary

AXXZIA Cosmetic Malaysia Sdn. Bhd. is seeking an Admin & Logistics Manager to join as a founding team member.

This role blends logistics, accounting, and administrative duties to support imports from Japan, manage inventory with 3PL partners, and keep financial processes running smoothly. You will handle customs clearance, coordinate shipments, manage purchase orders, process expenses and invoices, and assist month-end close.

Qualifications

• Experience in administrative or logistics roles in cosmetics/beauty or consumer goods.
• Practical knowledge of logistics (inventory control, import operations) or finance/accounting.
• Able to work day-to-day in Chinese or Japanese.
• Proficient in MS Excel and Word.
• Experience with accounting software is preferred.
• Able to work in English (preferred).

Responsibilities

• Support customs clearance and delivery procedures for products imported from Japan.
• Coordinate inventory with 3PL warehouse; manage inbound/outbound shipments and stock counts.
• Manage purchase orders and replenishment; handle stock-outs and quality issues.
• Process expense claims, manage receipts and payments, and issue and process invoices.
• Submit documents to accounting firm and support preparation of month-end closing materials.
• Manage office supplies; handle phone calls, emails and visitors.
• Maintain internal documents, take meeting minutes and handle other general administrative tasks.
