Soonest Express (M) Sdn Bhd in Penang, Malaysia, is seeking an Accounts & HR Executive to manage finance and human resources operations. The role covers AR, AP, GL, fixed assets, reconciliations, invoicing, and payroll processing, with HR duties such as onboarding and records maintenance.
You will liaise with auditors, tax agents, and HQ to ensure regulatory compliance, accurate reporting, and data confidentiality across multiple branches.
Maintain full set of accounts: AR, AP, GL, and fixed assets.
Handle day-to-day accounting tasks including bank reconciliations, invoice validation, and payments.
Prepare and issue invoices based on Purchase Orders and Quotations; resolve discrepancies with internal teams.
Ensure all invoices are properly supported and approved according to internal SOP.
Process payments via cheque and internet banking (TT).
Perform AR collections in accordance with company SOP.
Ensure accurate and timely data entry into the accounting system.
Handle month-end and year-end closing with the HQ Finance Team (Soonest Global Group).
Prepare and submit tax filings (e.g., VAT, withholding tax, corporate income tax) in accordance with Malaysia regulations.
Coordinate with banks on financial transactions and documentation (e.g., TT, invoice financing).
Liaise with auditors, tax agents, and government authorities during audits and tax reviews.
Assist with staff expense claims and reporting.
Handle in recruitment, onboarding/offboarding, and payroll processing.
Maintain up-to-date employee records and HR databases.
Handle procurement and general office administration tasks.
Develop and implement HR policies aligned with Malaysia labour laws and company standards.
Ensure HR and administrative compliance with legal and company requirements.
Coordinate with external parties (e.g., auditors, legal advisors, government offices, and company secretary).
Maintain an organized filing system for finance, HR, and company documents.
Prepare daily/monthly/quarterly/Yearly reports for HR & Finance.
Provide support to other Malaysia branches as and when required.
Perform other administrative or ad-hoc tasks as assigned by local or overseas managers.
Diploma or Degree holder in Accounting, Finance, Business Administration, or a related field.
Minimum 3–5 years of relevant experience in finance, accounting, and human resources functions.
Familiarity with Malaysia taxation and regulatory compliance (e.g., VAT, withholding tax, corporate income tax).
Experience with payroll processing, social security, provident fund, and HR compliance under Malaysia labour laws will have an added advantage.
Good command of English (both written and spoken)
Good command of Mandarin (both written and spoken) will be an added advantage
Proficient in MS Microsoft Word, Excel, and Power Point applications.
Strong attention to detail, accuracy, and ability to maintain confidentiality.
Good working attitude, have responsibilities, well organized, service mind, hardworking and able to perform and ability to multi-task working under pressure.
Able to perform multitasks in order to support and assist the department on a daily basis
Previous work in Freight Forwarding trade would be an added advantage
