Job summary

Qualifications

• Experience in SaaS/tech or subscription-based businesses desired.
• Familiarity with Malaysian Service Tax requirements.
• Exposure to Power BI or other data analytics tools.

Responsibilities

• Process and reconcile customer payments against invoices and resolve unidentified payments.
• Monitor deposit balances and process offsets per policy.
• Prepare AR ageing reports and reconciliation schedules.
• Respond to billing enquiries, payment disputes, and invoice queries.
• Verify payments and coordinate account reactivation with Sales and Support.
• Assist onboarding including credit checks and document verification.
• Maintain accurate customer records, billing terms, and account details.
• Coordinate account terminations and refunds per policy.
• Maintain withholding tax certificates and compliance docs for overseas customers.
• Prepare supporting docs for credit notes and bad debt provisioning.

Finance Executive - Customer Accounts & Collections (AR)

Xilnex Holdings Sdn Bhd is looking for a detail-oriented Finance Executive to join our Customer Accounts & Collections team. In this role, you will support the accounts receivable (AR) cycle, including payment reconciliation, customer account maintenance, billing enquiries, and collections-related administration. You will play an important role in maintaining accurate customer accounts and ensuring payments and account transactions are processed efficiently. As we continue to improve and automate our finance processes, you will also have opportunities to contribute to workflow improvements and develop your analytical skills in a technology-driven environment.

Key responsibilities

• Process and reconcile customer payments against outstanding invoices, investigating unidentified or unmatched payments.
• Monitor customer deposit balances and process deposit offsets in accordance with company policies.
• Prepare accounts receivable ageing reports and reconciliation schedules for management review.
• Respond to customer billing enquiries, payment disputes, invoice queries, and statement requests.
• Verify payments and coordinate customer account reactivation with Sales and Application Support.
• Support new customer onboarding, including account setup, credit assessment checks, and registration document verification.
• Maintain accurate customer records, billing information, credit terms, and account details.
• Coordinate account termination and refund processes in accordance with company policies.
• Maintain withholding tax certificates and related compliance documentation from overseas customers.
• Prepare supporting documentation for credit note requests and bad debt provisioning.

About you

Diploma or degree in Accounting, Finance, or a related field, depending on the approved hiring criteria.

1-2 years of relevant experience in accounts receivable, billing, collections, or finance operations.

Basic understanding of accounts receivable processes and payment reconciliation.

Proficiency in Microsoft Excel and good attention to detail.

Strong organisational skills and the ability to manage a high volume of transactions and customer accounts.

Good communication skills and a customer-focused approach to resolving billing enquiries.

Experience with ERP systems such as NetSuite, SAP, Oracle, or Microsoft Dynamics.

Experience in a SaaS, technology, or subscription-based business.

Familiarity with Malaysian Service Tax requirements.

Exposure to Power BI or other data analytics tools.
