We are seeking a hands-on HR & Admin Executive to join our team at Home Peanut Garden Food Industries Sdn Bhd. This role goes beyond typical office-based HR support — you will be the key person managing our full HR & administrative operations, including payroll, foreign worker management, government liaison, and general office administration. It's a varied, fast-paced role suited to someone who enjoys both desk work and being out in the field coordinating with agencies, banks, and government bodies.
This position reports to the Production Director / Management and plays a central role in keeping our HR, compliance, and administrative functions running smoothly. You will be supported by an admin assistant for certain operational tasks, while taking ownership of planning, oversight, and ensuring deadlines and standards are met across the department.
Key Responsibilities
- Prepare monthly payroll, including salary submission to bank, EPF, SOCSO, Income Tax (PCB), and HRDF (PSMB) contributions
- Manage recruitment for operators and staff, including screening, interview coordination, and onboarding
- Conduct induction programmes for new local staff and foreign workers
- Maintain and update personnel files, leave records, and manpower records
- Supervise distribution of uniforms, PPE, and stationery to operators (t-shirts, hair nets, gloves, boots, aprons), with support from an admin assistant
- Manage foreign worker recruitment and immigration documentation; supervise work permit renewals, with support from an admin assistant
- Coordinate medical check-ups (FOMEMA) and receive new foreign worker arrivals at the airport, with support from an admin assistant
- Supervise foreign worker hostel maintenance, ensuring standards are upheld by the assigned assistant/vendor
- Keep abreast of government policy and regulatory changes affecting employment and compliance
- Monitor and renew business licenses and permits
- Handle dispatch and liaison duties with banks, post office, TNB, SAINS, and government agencies across Nilai, Seremban, and Kuala Lumpur (own transport required)
- Liaise and correspond with government agencies and clients to obtain necessary approvals/consent
- Attend and prepare minutes for monthly management meetings
- Supervise incoming/outgoing correspondence and proper filing systems, with support from an admin assistant
- Plan and coordinate control office stationery stock with support from an admin assistant
- Issue visitor declaration forms and safety items (hair net, mask) to visitors
- Monitor ISO document control across relevant departments, ensuring documentation stays current and compliant with certification requirements
- Track and follow up on internal documentation and workflow updates owned by respective departments, flagging gaps or improvement areas
- Monitor deadlines for SOP implementation and compliance reporting (e.g. regulatory submissions such as MITI SOP reports) to ensure no submissions are overdue, coordinating with the relevant departments responsible
What we're looking for
- Diploma or Bachelor's Degree in Human Resources, Business Administration, or related field
- 1–3 years of experience in HR & Admin, ideally within a manufacturing or food industry setting
- Working knowledge of Malaysian employment law, EPF/SOCSO/PCB/HRDF processes, and foreign worker regulations (an advantage, not mandatory — training provided)
- Own transport and valid driving license required, as the role involves travel to related government offices.
- Proficient in Microsoft Office (especially Excel and Word)
- Well-organised, detail-oriented, and comfortable managing multiple priorities
- Good written and verbal communication skills in English and Bahasa Malaysia; Mandarin is an advantage for liaising with Chinese-speaking staff and stakeholders
- Discreet, dependable, and comfortable handling confidential information
- Comfortable with occasional fieldwork (e.g. airport pickups, hostel visits, government office visits) in addition to office-based tasks
