Job summary

Falcon Safe Marketing in Malaysia seeks an Export Documentation Specialist to prepare and manage full sets of export shipping documents and coordinate with freight forwarders to ensure on-time delivery to overseas customers.

The role requires hands-on experience with export documents, knowledge of Incoterms, and strong coordination and communication with internal teams. Diploma/degree in a related field and 2–3 years of export experience are preferred.

Qualifications

• Diploma or degree in Business Administration, Logistics, International Trade, or related field.
• 2–3 years of export documentation/shipping/logistics experience (manufacturing environment preferred).
• Hands-on experience in preparing export shipping documents is a MUST.
• Familiar with Incoterms, customs procedures, and international shipping processes.
• Good coordination and communication with internal & external stakeholders.
• Detail-oriented, organized, and able to handle multiple shipments.
• Able to work independently with minimal supervision.

Responsibilities

• Prepare and manage full set of export shipping documents (Commercial Invoice, Packing List, Bill of Lading/Airway Bill, COO, other permits).
• Coordinate with freight forwarders, shipping lines, and logistics partners for shipment arrangements.
• Liaise with internal teams (sales, production, warehouse) to ensure timely order fulfillment.
• Monitor shipment schedules and ensure on-time delivery to overseas customers.
• Handle export order processing from order confirmation to delivery.
• Ensure compliance with international trade regulations, customs requirements, and Incoterms.
• Follow up on shipment status and resolve logistics or documentation issues.
• Maintain proper documentation records for audit and ISO compliance.
• Support export sales team on administrative and coordination tasks.
