AYER Holdings in Malaysia is seeking an Executive, Group HR & Administration to manage payroll for the plantation division and support corporate service, property, and plantation operations.
The role requires handling end-to-end payroll, records maintenance, statutory compliance, and coordination with multiple agencies, unions and insurers, while providing HR support across divisions. Strong English skills and MS Office proficiency are essential.

Executive, Group HR & Administration responsible for the timely and proper execution of Human Resource policies and procedures for the Corporate Service, Property, and Plantation divisions.
Manage the full-cycle payroll process for the plantation division office and field employees, including processing and reviewing payroll data to ensure the accuracy and timely disbursement of workers’ advance payments and month-end wages, as well as the accurate computation, processing, and timely payment of statutory contributions such as EPF, SOCSO, EIS, PCB, etc.
Submit the relevant payroll documents to Finance and the National Union of Plantation Workers (NUPW) for payroll closing and union membership payments.
Maintain and update employee records, databases and HR information systems, ensuring accuracy and confidentiality.
Monitor HR payroll and E-Office (e-leave, e-claim, e-payslip) to ensure its compliance with regulated statutory requirements and timely update employee personal data to the HR system.
Monitor and renew insurance coverage for company vehicles and assets for all divisions, by liaising with the insurance provider agency and other relevant parties, including submission, compilation and upkeep of documents.
Conduct briefings via Zoom Meeting to the estate to build rapport with estate personnel and guide them on the relevant HR policies and procedures.
Ensure compliance with legal, contractual, and statutory requirements and support estate management on worker-related matters.
Coordinate foreign worker applications, permit renewals, medical check-ups, FOMEMA, insurance, and levy payments.
Liaise with agencies and government authorities (Immigration, EPF, SOCSO, LHDN, Labour Department, JTK, etc.) on all statutory requirements.
Involve in the annual employee engagement e-surveys which collaborate with Mercer Malaysia, CSR activities, and events focusing on ESG aspects.
Assist in coordinating and organising Employee Engagement Programs (Sports Club activities, Team Building, Annual Dinner and Wellness Programs, etc.)
Handle filing, data entry, storage system and upkeep of HR systems and databases.
To monitor, update and maintain staff medical claims in accordance with company policies and individual entitlements.
Attend to any other duties as may be assigned by the Management from time to time.
Min. Diploma or Bachelor's Degree in Human Resources or any other discipline
Strong knowledge and practical understanding of statutory requirements, including EPF, SOCSO, EIS, PCB, and the Employment Act 1955
Preferably with at least 3 years of relevant experience in a similar capacity
Good command of both written & spoken English communication
Proficient user of Microsoft Office (Excel, PowerPoint, Word)
Proactive, enthusiastic, and self-driven with a high level of integrity
Good organisational skills, listening skills, highly motivated, flexible, and result-oriented
