Uzma Group Malaysia seeks an experienced Executive Assistant to support the CEO across the group’s subsidiaries. You will manage calendars, prepare briefing notes, coordinate cross‑functional projects, and ensure timely follow‑ups on strategic priorities.

The ideal candidate has 5+ years supporting C‑level executives, strong financial literacy (P&L, budgets, dashboards), and excellent written/presentational skills; Excel and PowerPoint proficiency is required.

Qualifications

  • Bachelor's degree in business, finance, or accounting.
  • Minimum 5 years supporting C-level executives.

  • Excellent written and verbal communication.

Responsibilities

The Executive Assistant provides executive and business support to the CEO of one of the Group's subsidiaries. The role supports the CEO in managing business priorities, coordinating key activities, and ensuring timely follow-up.

The EA should have good business and financial knowledge, with the ability to review budgets, understand P&L statements, and monitor key business performance indicators.

Job Responsibilities
1. Executive & Strategic Support
  • Manage the CEO's calendar, ensuring alignment with strategic priorities.
  • Prepare CEO briefing notes, business updates, and key talking points for internal and external meetings.
  • Coordinate and follow up on cross-functional projects, tracking milestones, risks, and deliverables.
  • Maintain organized records of CEO decisions, meetings, follow-ups, and confidential correspondence.
  • Support governance activities such as audit and compliance scheduling, document review, and record-keeping.
  • Track action items from management or board meetings and ensure accountability across departments.
2. Financial & Business Insight
  • Review and interpret financial reports, including P&L statements, operating budgets, and departmental forecasts.
  • Support the CEO in monitoring company financial health; tracking variances, KPIs, and business performance trends.
  • Collaborate with Finance or relevant teams to consolidate data for business reviews, board reports, or investor updates.
  • Assist in budget planning cycles by consolidating inputs and maintaining oversight of key financial commitments.
3. Stakeholder & Information Management
  • Serve as liaison between the CEO and internal/external stakeholders; ensuring timely, clear, and professional communication.
  • Coordinate high-level meetings, including board meetings, with preparation of presentation materials and financial data summaries.
  • Maintain a pulse on internal business operations, providing the CEO with regular updates or escalation points.
5. Special Projects
  • Lead or support strategic initiatives as assigned by the CEO, especially those involving business optimization or cost control.
  • Conduct business research or competitor benchmarking relevant to business growth or cost efficiencies.
  • Prepare business cases, slide decks, and executive summaries on ad hoc initiatives.
Job Requirements
  • Bachelor's degree in Business Administration, Finance, Accounting, or related field.
  • Minimum 5 years of experience supporting C-level executives, with exposure to financial documents and business operations.
  • Strong financial literacy and confidence in interpreting P&L, balance sheet, and budget.
  • Excellent communication, writing, and presentation skills.
  • Strong business judgment, problem-solving capabilities, and confidentiality.
  • Proficiency in Microsoft Excel, PowerPoint, and financial dashboard/reporting tools.
  • Strong attention to detail with the ability to manage multiple priorities.
