Pacific Inter-Link Sdn Bhd, Kuala Lumpur-based exporter, seeks an experienced Documentation Officer-Export to manage shipping docs for LC, Collections and Open Account consignments, including bulk palm oil, packed oils and FMCG.
The ideal candidate will ensure regulatory compliance, liaise with banks and surveyors, and maintain precise records while delivering timely documents to support international trade.

We are seeking an experienced Documentation Officer-Export to join our team. The successful candidate will be responsible for preparing and managing shipping documentation for exports, ensuring compliance with international trade regulations and banking requirements. This role covers shipments under Letters of Credit (L/C), Collections, and Open Account, particularly for Bulk Palm Oil, Packed Oil & Fats, Raw Materials, and FMCG products.
Review Letters of Credit and request amendments when required.
Prepare invoices, Bills of Lading, Insurance Certificates, Certificates of Origin, Packing Lists, and other export documents.
Issue shipping instructions to suppliers, factories, and surveyors.
Apply for relevant certificates (Health Certificate, CNCA, ECTN, etc.).
Ensure compliance with import/export regulations of destination countries.
Coordinate with shipping agents/liners for switch B/Ls, telex releases, and draft confirmations.
Handle legalization of documents and arrange payments with Treasury.
Liaise with banks for incoming bills and manage collections.
Maintain accurate documentation records and reports.
Bachelor’s Degree, Post Graduate Diploma, or Professional Qualification.
2–3 years of working experience in export/shipping documentation.
Strong knowledge of UCP600 and Incoterms.
Proficiency in Microsoft Office applications.
Excellent communication skills with good command of English.
Ability to work independently, under pressure, and meet deadlines.
