Job summary

TRANSPAK PENANG SDN. BHD. is seeking a Distribution Operations Executive to plan and coordinate daily distribution tasks, ensuring on-time fulfilment for customer and intercompany orders.

You will collaborate with Customer Service, Planning, Procurement, PM, QA, Warehouse and Logistics to manage orders, shipments and documentation, while driving continuous process improvements.

Qualifications

• 2–3 years experience in material planning, order management or supply chain roles.
• Thorough understanding of distribution, logistics, customs and supply chain management.
• Proficient in data analysis and reporting, with ERP/MRP/WMS knowledge.
• Excellent problem-solving and decision-making skills, able to work under pressure.
• Bachelor’s degree or equivalent.

Responsibilities

• Plan and coordinate direct customer and intercompany order fulfilment planning, trigger production/shipment and ensure timely delivery.
• Follow up with Procurement and suppliers on material availability and documentation; escalate risks.
• Coordinate warehouse activities, inventory movements, transportation and delivery execution.
• Ensure shipping, commercial, customs, and regulatory documentation is complete and timely.
• Ensure accurate ERP transactions for order fulfilment, inventory movement, shipment and delivery.
• Act as operational focal point across multiple departments to resolve issues and improve processes.
• Monitor KPI like Close SO/WO, Shipment OTD and inventory transaction accuracy.
• Handle new projects, customer escalations and ad-hoc tasks as assigned by management.

Job description

To plan and coordinate daily distribution operations to ensure customer and intercompany orders are fulfilled accurately, efficiently, and on time.

The Distribution Operations Executive will work closely with Customer Service, Planning, Procurement, Project Management, Operation, QA, Warehouse and Logistics, teams to coordinate order fulfilment, shipment execution, delivery, documentation, and operational issue resolution.

Key responsibilities:

Order Fulfilment & Operations: Manage and coordinate direct customer and intercompany order fulfilment planning, execute production/shipment trigger form request, material and shipment readiness planning, timely delivery, and proactive resolution of operational issues.

Supplier & Material Readiness: Follow up with Procurement and suppliers on material availability, delivery status, and required documentation, escalating potential supply risks that may impact customer commitments.

Warehouse, Logistics & Distribution: Coordinate warehouse activities, inventory movements, transportation, shipment readiness, and delivery execution to ensure materials/FG are accurately prepared and delivered on time.

Shipment Documentation & Compliance: Ensure all shipping, commercial, customs, and regulatory documentation is complete, accurate, and submitted within the required timeline.

ERP & System Management: Ensure accurate ERP transactions for order fulfilment, inventory movement, shipment, and delivery, while supporting system troubleshooting and process improvements

Cross-Functional Coordination: Act as the key operational focal point across Customer Service, Planning, Procurement, Warehouse, QA, Logistics, Sales, PM, and Finance to ensure timely execution and resolution of operational issues.

Monitor and track KPI (Close SO/WO, Shipment OTD, Inventory transaction accuracy).

Point of Contact (new project/customer escalation follow-up/system troubleshooting/continuous improvement project).

Any other project/ad-hoc tasks assigned by the management.

Skills required:

At least 2-3 years experience in material planning, order management, supply chain roles, preferably in a distribution and manufacturing environment.

Thorough understanding of distribution process, logistics process, customs regulations, and supply chain management.

Proficient in data analysis and reporting, with the knowledge/ability to use relevant system (ERP/MRP/WMS).

Excellent problem-solving and decision-making skills, with the ability to work under pressure.
