Job summary

NTG A&O Malaysia Sdn. Bhd. is seeking a Customer Service & Operations Executive in Kuala Lumpur to manage end-to-end shipment activities. You will handle inquiries, track shipments, coordinate bookings across air, sea and cross-border routes, and prepare essential shipping documents from booking to delivery.

The role requires a Diploma in Logistics/SCM/Business Admin and at least 2 years' freight/logistics experience. Strong communication, teamwork, and MS Office skills are essential for success.

Qualifications

• Diploma in Logistics, Supply Chain Management, Business Administration or related field.
• 2+ years in freight forwarding or logistics operations.
• Knowledge of import/export procedures, shipping docs, customs processes, and Incoterms.
• Excellent communication and interpersonal skills.
• Strong customer service and organizational skills.
• Proficient in Microsoft Office applications.
• Ability to work independently and in a team.
• Good command of English and Bahasa Malaysia.

Responsibilities

• Handle customer enquiries and provide timely shipment updates.

• Monitor shipment schedules and ensure timely cargo movement and delivery.
• Prepare and verify shipping documents (HBL/MBL, HAWB/MAWB, Invoice, Packing List, Shipping Instructions, Delivery Orders).
• Coordinate customs clearance and delivery arrangements.
• Liaise with Sales, Operations Manager, customers and service providers to ensure smooth execution.
• Prepare customer invoices and coordinate billing documents through to payment.
• Verify supplier invoices and capture operational costs.
• Coordinate with Finance on invoicing and billing documentation.
• Maintain shipment records and ensure compliance with SOPs and regulations.

Job Description

• Handle customer enquiries and provide timely shipment updates.
• Coordinate and manage import and export shipments by air, sea, and cross-border from booking to final delivery.
• Arrange bookings with shipping lines, airlines, transporters, warehouses, and overseas agents.
• Monitor shipment schedules and ensure timely cargo movement and delivery.
• Prepare and verify shipping documents, including HBL/MBL, HAWB/MAWB, Commercial Invoice, Packing List, Shipping Instructions, Delivery Orders, and other related shipping documents.
• Coordinate customs clearance and delivery arrangements.
• Liaise with the Sales team, Operations Manager, customers, overseas agents, carriers, transporters, warehouses, customs brokers, and other service providers to ensure smooth shipment execution.
• Prepare customer invoices and coordinate all billing documents until the billing process is completed.
• Verify supplier invoices and ensure all operational costs are accurately captured.
• Coordinate with the Finance team on invoicing, billing documentation, and payment-related matters.
• Maintain complete and accurate shipment records in accordance with company procedures.
• Ensure compliance with company SOPs, customer requirements, and applicable regulatory requirements.
• Prepare operational reports and update shipment status when required.
• Resolve operational issues promptly and escalated critical matters to the Operations Manager when necessary.
• Perform any other duties assigned by the Operations Manager or Management.

Requirements

• Minimum Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
• Minimum 2 years of working experience in freight forwarding or logistics operations.
• Knowledge of import and export procedures, shipping documentation, customs processes, and Incoterms.
• Excellent communication and interpersonal skills.
• Strong customer service, organizational, and problem-solving skills.
• Proficient in Microsoft Office (Excel, Word, and Outlook).
• Able to work independently as well as in a team environment.
• Strong organizational and time management skills with the ability to multitask and meet deadlines.
• Good command of English and Bahasa Malaysia, both written and spoken.
