Job summary

Matrix Flavours & Fragrances Sdn Bhd is seeking a Customer Service Intern to join our Customer Relationship Management team in Subang Jaya, Selangor. This full-time internship offers hands-on experience in client relations, order processing, and logistics coordination within the food ingredients sector.

You will work alongside experienced professionals to help deliver excellent service, accurate product information, and seamless order fulfillment for top client satisfaction.

Qualifications

• Currently pursuing or recently graduated with a degree or diploma in Business Administration, Supply Chain, Food Science or related fields.
• Strong attention to detail and ability to follow procedures and log client information accurately.
• Basic understanding of customer service principles, order processing workflows and issue resolution.
• Good organisation and record-keeping skills to manage databases and documentation.
• Ability to work independently and with cross-functional teams including Logistics, QA and Sales.

Responsibilities

• Respond professionally to customer inquiries, feedback, and complaints via email, phone, and social channels.
• Assist in processing sales orders and coordinate with logistics to track delivery schedules.
• Bridge communication with QA and production to resolve product quality feedback.
• Provide clear product information on Halal status, allergens, ingredients, and shelf-life.
• Maintain and update customer interaction logs, client databases, and distributor records.
• Support administrative tasks and help prepare basic service reports for quality improvements.

About the role

Matrix Flavours & Fragrances Sdn Bhd is seeking a Customer Service Intern to join our Customer Relationship Management team in Subang Jaya, Selangor.

Working alongside experienced professionals, you will actively contribute to our commitment to delivering excellent service, accurate product information, and seamless order fulfillment to maintain the highest standards of client satisfaction.

What you're doing

Respond professionally to customer inquiries, feedback, and complaints via email, phone, and social media channels.

Assist in processing sales orders and coordinate closely with the logistics team to track delivery schedules.

Bridge communication with the QA and production teams to resolve product quality complaints or feedback from clients.

Provide clear and accurate product info regarding Halal status, allergens, ingredients, and shelf-life instructions to customers.

Maintain and update customer interaction logs, client databases, and distributor records accurately in the system.

Support administrative tasks and help prepare basic customer service reports to identify areas for quality improvement.

What we're looking for

Currently enrolled in or recently graduated from a degree or diploma programme in Business Administration, Supply Chain, Food Science, Food Technology, or a related discipline.

Strong attention to detail with an ability to follow procedures, process data, and log client information accurately and consistently.

Basic understanding of customer service principles, order processing workflows, and issue resolution concepts.

Excellent organisational and record-keeping skills to efficiently manage client databases and documentation.

Ability to work effectively both independently and as part of a cross-functional team (coordinating with Logistics, QA, and Sales).

Excellent communication skills with the ability to handle client inquiries professionally and report feedback clearly.

Willingness to learn and adapt to new software, CRM systems, product lines, and fast-paced communication channels.

Reliability, punctuality, empathy, and a customer-oriented approach to work.

Familiarity with basic office software (Microsoft Excel, Word) or CRM tools is advantageous but not essential.
