Newbillion Precision Metal Sdn. Bhd. in Penang/Batu Kawan is seeking a Customer Service Executive (Order Management) to manage orders from PO receipt through production, shipment, invoicing and payment follow-up.

You will collaborate with Business Development, Production Planning, Warehouse, QA and Finance to ensure accurate processing and on-time delivery. The role emphasizes proactive communication, detail orientation, and the ability to handle multiple orders in a fast-paced manufacturing

Qualifications

• Diploma or Bachelor's Degree in Business Administration, Supply Chain, Logistics, Sales/Marketing or related field.
• 2–5 years of experience in Customer Service, Order Management, Sales Administration or related role, preferably in manufacturing.
• Experience handling customer POs, order processing, delivery coordination and invoicing is an advantage.
• Good knowledge of Microsoft Office, especially Excel.
• Experience with ERP systems is an advantage.

Responsibilities

• Manage the end-to-end customer order process from PO receipt to shipment and invoicing.
• Review customer POs against quotations, pricing, specifications, quantities and delivery requirements.
• Coordinate with Business Development / Sales team on customer requirements and PO clarification.
• Follow up on pending POs and coordinate with Production Planning to align orders with production schedules.
• Monitor order progress, finished quantities and delivery schedules.
• Coordinate with Warehouse / Dispatch to ensure accurate shipment quantities and timely delivery.
• Prepare and issue Delivery Orders (DOs) and Sales Invoices upon shipment.
• Act as the main contact for customers regarding order status, delivery schedules and order-related enquiries.
• Handle customer complaints involving delivery delays, billing discrepancies, quantity differences and other order-related matters.
• Coordinate with QA, Operations, Warehouse and Finance to resolve customer issues.
• Maintain accurate customer master data, including billing and shipping information.
• Assist Finance in following up on overdue customer payments and outstanding receivables.
• Prepare monthly sales fulfillment and order status reports.

Job description

We are looking for a Customer Service Executive (Order Management) to manage customer orders from Purchase Order (PO) receipt through production coordination, shipment, invoicing and payment follow-up.

You will work closely with our Business Development, Production Planning, Warehouse, QA and Finance teams to ensure customer orders are processed accurately and delivered on time.

Key Responsibilities

Manage the end-to-end customer order process, from PO receipt to shipment and invoicing.

Review customer POs against quotations, pricing, specifications, quantities and delivery requirements.

Coordinate with the Business Development / Sales team on customer requirements and PO clarification.

Requirements

Diploma or Bachelor's Degree in Business Administration, Supply Chain, Logistics, Sales/Marketing or related field.

2–5 years of experience in Customer Service, Order Management, Sales Administration or a related role, preferably in a manufacturing environment.

Experience handling customer POs, order processing, delivery coordination and invoicing is an advantage.

Good knowledge of Microsoft Office, especially Excel.

Experience with ERP systems is an advantage.

Strong communication, coordination and follow-up skills.

Detail-oriented, proactive and able to manage multiple customer orders simultaneously.

Able to work effectively in a fast-paced manufacturing environment.
