Job summary

Novolyte Technologies is seeking a Commercial Officer to support the Sales team by managing customer information, coordinating order execution, and maintaining sales data in a fast-paced manufacturing environment. You will liaise with production, planning, logistics, and quality to ensure smooth operations and timely order fulfillment, while delivering excellent customer service.

Ideal candidates have 1–3 years in commercial support, strong English, Mandarin and Malay skills, and a solid grasp

Qualifications

• Bachelor's degree in Marketing, Business Admin, International Trade or related field.
• 1-3 years of experience in commercial support, sales administration, customer service, or sales support within a manufacturing environment.
• Fluent in English, Mandarin, and Malay.
• Familiarity with Incoterms and basic import/export procedures.
• Proficient in Microsoft Office; ERP/CRM experience is a plus.
• Strong communication and teamwork skills.
• Detail-oriented with strong execution and organizational abilities.
• Customer-focused with a service mindset.

Responsibilities

• Establish and maintain accurate customer profiles and master data.
• Track order status and coordinate with internal departments (production, planning, logistics, quality) to ensure on-time delivery.
• Enter sales orders and shipment data, update sales forecasts, prepare regular sales reports.
• Assist in collecting sales forecast data, consolidating and submitting it to the planning department.
• Respond to customer inquiries and provide timely updates on order status.
• Coordinate internally to resolve customer requests and operational issues.
• Maintain contracts, customer files, shipping documents, and commercial records.
• Prepare regular sales reports and maintain accurate sales and shipment data.

About the Role

We are looking for a detail-oriented and proactive Commercial Officer to join our Sales team. In this role, you will provide daily commercial support by managing customer information, coordinating order execution, maintaining sales data, and working closely with internal departments to ensure smooth business operations.

You will serve as a key liaison between customers and internal teams, supporting timely order fulfillment, accurate documentation, and excellent customer service. If you enjoy working in a fast-paced manufacturing environment and have strong coordination skills, we would love to hear from you.

Key Responsibilities

• Establish and maintain accurate customer profiles and master data.

Order Execution & Coordination

• Assist sales managers and sales engineers in tracking order status, coordinating with internal departments (production, planning, logistics, quality, etc.) to ensure on-time delivery.
• Enter sales orders and shipment data, update sales forecasts, prepare regular sales report form.
• Assist in collecting sales forecast data, consolidating and submitting it to the planning department.

Customer Communication

• Respond to customer inquiries and provide timely updates on order status.
• Coordinate internally to resolve customer requests and operational issues.
• Support the Sales team in maintaining strong customer relationships and ensuring customer satisfaction.

Documentation & Reporting

• Maintain sales contracts, customer files, shipping documents, and commercial records.
• Prepare regular sales reports and maintain accurate sales and shipment data.
• Ensure proper documentation and traceability of all commercial transactions.

Requirements

• Bachelor's Degree in Marketing, Business Administration, International Trade, or related disciplines.
• 1-3 years of experience in commercial support, sales administration, customer service, or sales support within a manufacturing environment.
• Fluent in English, Mandarin, and Malay (written and spoken). "We are looking for Mandarin-speaking candidates who will be serving Mandarin-speaking customers."
• Familiarity with Incoterms and basic import/export procedures.
• Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with ERP or CRM systems is an added advantage.
