Job summary

You will lead the front line of procurement, coordinate with site supervisors, and mentor junior staff while ensuring POs and admin tasks are completed within 24–48 hours; English and Mandarin fluency required.

Qualifications

• 3–5 years of experience in Procurement, Purchasing, or Sales Admin in construction/engineering.
• Strong Excel skills with data analysis and formulas.
• Experience with SQL HRMS systems and vendor management.

Responsibilities

• Supervise the Purchaser and Sales Admin staff to ensure POs and admin tasks are completed within 24–48 hours.
• Review quotations and material specs to meet project standards before approval.
• Lead negotiations with mid-tier suppliers and manage the AVL for reliability and quality.
• Coordinate with Site Supervisors to forecast material needs and resolve shortages or delays.
• Oversee procurement records and inventories, coordinating with Accounts for timely payments.
• Assist in developing SOPs to streamline site requests, purchasing, and delivery.

Role Purpose

As the Assistant Manager, you will oversee the daily operations of the purchasing and sales administration functions. You will be responsible for ensuring the team meets project deadlines, maintains high data accuracy in our SQL systems, and secures the best value for construction materials. You will lead the "front line" of procurement, resolving site issues and mentoring junior staff.

Key Responsibilities

• Operational Leadership: Supervise the Purchaser and Sales Admin staff to ensure Purchase Orders (POs) and administrative tasks are completed within the 24–48 hour turnaround time.
• Procurement Oversight: Review and verify quotations and material specifications to ensure they meet project standards before final approval.
• Supplier Relations: Lead negotiations for mid-tier suppliers and manage the "Approved Vendor List" (AVL) to ensure reliability and quality.
• Site Liaison: Act as the primary coordinator for Site Supervisors to forecast material needs and resolve urgent shortages or delivery delays.
• Data & Compliance: Ensure all procurement records and material inventories are accurately updated. Oversee the coordination with the Accounts Department for timely payment processing.
• Process Improvement: Assist in developing and implementing SOPs to streamline the flow between site requests, purchasing, and delivery.
• Ad-Hoc Projects: Execute additional duties and projects as assigned by the Management team to support FIT’s organizational goals.

Requirements

• Experience: At least 3–5 years of experience in Procurement, Purchasing, or Sales Admin, preferably within the Construction or Engineering industry.
• Technical Skills: High proficiency in Microsoft Excel(data analysis, formulas) and experience with SQL HRMS systems.
• Competencies: Strong negotiation skills, attention to detail, and the ability to lead a small team under tight project deadlines.
• Personal Attributes: High level of cooperation and flexibility to undertake varied tasks within the department’s scope.
• Language: We are seeking candidates proficient in both English and Mandarin to effectively communicate with our diverse client base and stakeholders.
