Design Village Outlet Mall is seeking an experienced Leasing Assistant to support the Leasing Manager in developing and monitoring leasing plans, driving occupancy targets and tenant mix strategies. The role requires coordinating negotiations for new, renewal and termination of tenancies, and preparing all offer letters and lease documents.
You will maintain landlord-tenant relationships, analyze tenant performance, and liaise with solicitors as needed.
To assist and support the Leasing Manager by proposing leasing plans or efforts to improve the overall Mall’s occupancy according to the company’s direction.
To have the initiative to handle and monitor day-to-day leasing relevant matter including liaison with panel solicitors for pending cases, issue with DCS integration set-up, renewal cases and formalize relevant letters and agreements.
To have good time management to prioritize urgent and important tasks.
Cultivate and maintain good relationships with all tenants.
Assist the Leasing Manager in the conceptualization of the leasing plan, organizing and monitoring for effective implementation of the leasing plan and strategies to achieve targeted occupancy.
Handle tenancy negotiations for leasing enquiries/registrations, new tenancies, renewals, or termination of tenancy for approval, recommend terms and conditions as per leasing plan and budget, and formalize letters of offer and agreements.
Prepare all leasing and tenancy proposals and renewal forms, including Tenancy Proposal Approval Form, Letter of Offer, and License Agreement for Short Term leases.
Administer and ensure adherence to lease terms and conditions by landlords and tenants.
Monitor and analyze tenants' sales and overall performance and recommend measures for improvement.
Coordinate fit-out drawing submission by tenants for ready lots and attend to pre-opening inspection as part of the fit-out committee.
Prepare correspondence and reports.
Constantly and proactively look out for new prospects, latest retail concepts/brands/products and services and continuously review tenant mix to ensure relevancy and good fit with prevailing market conditions.
Ensure all documentation per Tenancy Agreements is fulfilled by tenants before trading commencement or cessation of trading upon expiry in compliance with Leasing SOP.
Establish and maintain good landlord-tenant relationship and initiate discussions with low-performing tenants to recommend measures to reduce overall occupancy cost.
Minimum Degree in Business Administration, Marketing, Real Estate Management, or equivalent.
At least 5 years' experience with property sales and marketing environment, especially in leasing of retail lots or similar capacity in Shopping Centre or Retail Industry.
Computer literate with strong proficiency in Microsoft Excel and PowerPoint.
Efficient, responsible, independent, accurate with details.
Sound working knowledge of legal issues about tenancy agreements, trademarks, franchising and intellectual property rights.
Possess strong analytical, interpersonal and negotiation skills.
Self-motivated, all-rounder with good organizational skills and able to work under pressure.
Self-disciplined, able to complete tasks within a reasonable time.
