Private Advertiser in Penang is seeking an Admin & HR Executive to manage day-to-day administrative operations and core HR functions within an SME environment. You will handle end-to-end recruitment, onboarding, payroll, leave management, and policy compliance, while maintaining confidential personnel records and supporting management on disciplinary and performance processes.
The role requires a diploma or degree in HRM or BA and 2–4 years of combined Admin/HR experience, with strong knowledge
The Admin & HR Executive manages day-to-day administrative operations, core Human Resource functions, employee lifecycle workflows, basic payroll administration, and workplace policy execution within an SME environment.
Manage end-to-end recruitment process: draft job descriptions, post listings across portals, shortlist candidates, coordinate and schedule interviews
Coordinate new hire onboarding and orientation: arrange workstations, issue IT assets/access cards, conduct HR briefings, and manage welcome kits
Oversee offboarding workflows: coordinate exit interviews, manage clearance checklists, handle final salary settlements, and issue work certificates
Maintain digital and hardcopy personnel files, confidentiality agreements, employment contracts, and statutory registration records
Assist in monthly payroll processing: verify attendance data, calculate overtime (OT), commissions, allowances, unpaid leave, and deductions
Manage leave management system: track annual, medical, hospitalization, and emergency leave applications/balances
Process employee claims, medical benefits, and insurance policies
Ensure company policies and HR handbooks comply with local labor regulations and employment standards
Support management in handling employee grievance procedures, disciplinary actions, and performance evaluation tracking
Oversee general office operations, pantry management, stationary supplies, and maintenance of office equipment and facilities
Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or equivalent
Minimum 2 to 4 years of hands-on experience handling combined Admin and HR duties in an SME environment
Sound knowledge of local Labor Law, Employment Act, statutory regulations, and HR best practices
Proficient with HR/Payroll software (e.g. MASTER & etc) and MS Office/Google Workspace
High degree of integrity, discretion, and ability to handle sensitive and confidential personal data
Strong interpersonal and communication skills across all organizational levels
Exceptional organizational, multitasking, and conflict-resolution abilities
