The Administration Executive is responsible for providing administrative and operational support to ensure the smooth day-to-day operations of the Company. This role supports office administration, document management, facilities coordination, and administrative functions across Human Resources, Finance, Operations, and other departments while ensuring compliance with Company policies and procedures.
Key responsibilities
Provide day-to-day administrative support, including preparing correspondence, reports, meeting minutes, and business documents.
Manage office communications, meetings, appointments, travel arrangements, and proper filing systems for records management.
Provide administrative support to Management and various departments.
Maintain accurate and confidential Company records, contracts, business licences, and other documentation.
Coordinate office facilities, maintenance, office supplies, company assets, and vendor services.
Ensure proper document control and record management in accordance with Company policies.
Assist with recruitment administration, onboarding, employee records, attendance, leave, payroll supporting documents, and employee engagement activities.
Provide administrative support to Operations by coordinating reports, stock requisitions, suppliers, and operational documentation.
Assist the Finance Department with purchase orders, invoices, payment documents, expense claims, e-Invoice supporting documents, and record keeping.
Ensure administrative processes comply with Company policies and applicable Malaysian laws.
About you
Diploma or Bachelor's Degree in Business Administration, Office Management, Human Resource Management, or a related field.
Minimum 1–3 years of relevant administrative or office administration experience.
Experience supporting HR, Finance, or Operations business units is an advantage.
Experience in the wellness, hospitality, healthcare, retail, or service industry is preferred.
Good knowledge of office administration and document management.
Basic understanding of Malaysian statutory requirements (EPF, SOCSO, EIS, PCB and HRD Corp).
Proficient in Microsoft Office applications.
Good communication, organisational and time management skills.
Able to work independently, take initiatives, maintain confidentiality, and collaborate effectively with different departments.
