GBM Electronics in Malaysia (Chemor) seeks a proactive HR Administrative Coordinator to support onboarding, attendance, and office operations. You will coordinate visits, assist expatriate logistics, and maintain employee records.
Ideal candidates have a Diploma or Bachelor's in HR/Business Administration, strong MS Office skills, and fluency in Mandarin, English, and Bahasa Malaysia. Fresh graduates welcome; multitasking and independent work are essential.

Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
Experience
Minimum 1 years of working experience Fresh graduates are encouraged to apply.
Skills
Good verbal and written communication skills in Mandarin, English, and Bahasa Malaysia.
Able to multitask and have good sense of urgency to meet tight deadline
Strong interpersonal skills with the ability to communicate effectively with employees at all levels.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, etc.).
Able to work independently with minimal supervision.
Job Responsibilities
Coordinate customer visits by arranging meeting rooms, visitor areas, refreshments, and required facilities.
Prepare ESD smocks, shoe covers, visitor passes, and other necessary items for customers and visitors.
Arrange hotel accommodations, transportation, meals, and logistics for customers, expatriate staff, and business visitors.
Coordinate lunch arrangements and other hospitality requirements during customer visits.
Prepare arrival cards prior to the arrival of expatriate staff and China support staff.
Prepare PPE, lockers, temporary access cards, and other onboarding requirements before staff arrival.
Arrange accommodation setup for expatriate staff, including housing preparation and basic necessities.
Maintain monthly attendance records for expatriate staff and China support staff.
Coordinate transportation arrangements for expatriate staff and visitors.
Support employee onboarding and offboarding activities
Maintain employee files, administrative records, and document filing systems.
Assist with daily office administrative operations.
Ensure workplace cleanliness, organization, and compliance with 5S standards.
Prepare and maintain office supplies and administrative materials.
Process petty cash transactions related to administration activities.
Prepare reimbursement claims for customer visits and expatriate staff, including transportation, petrol, meals, accommodation,and other approved expenses.
Prepare monthly medical and mileage claims report.
Prepare monthly attendance reports for employees and expatriate staff.
Ensure all records are complete, accurate, and maintained in accordance with company procedures.
Update administrative reports and operational records as required.
Provide administrative support to HR and General Affairs activities.
Coordinate with internal departments and external service providers to ensure smooth daily operations.
Perform any other duties and assignments assigned by superior or management.
