Jora Malaysia is seeking an experienced administrative professional to provide comprehensive support to management and staff. You will manage correspondence, prepare documents, and maintain organized filing systems to ensure efficient operations.

Responsibilities include scheduling meetings, coordinating travel, managing office supplies and equipment, and maintaining accurate records across databases. Strong English and Bahasa Malaysia communication skills are essential; Mandarin is a plus.

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field.
  • 1-2 years of proven experience in an administrative or executive support role.
  • Proficiency in Microsoft Word and Excel for document creation, data management, and reporting.
  • Excellent multitasking and time management skills to handle multiple priorities in a fast-paced environment.
  • Strong verbal and written communication skills in English and Bahasa Malaysia; Mandarin proficiency is a significant advantage.

Responsibilities

  • Provide comprehensive administrative support to management and staff, including managing correspondence, preparing documents, and maintaining organized filing systems.
  • Coordinate and schedule meetings, appointments, and travel arrangements for executives and teams, ensuring efficient use of time and resources.
  • Manage office operations, including ordering supplies, maintaining office equipment, and ensuring a tidy and functional workspace.
  • Assist with record keeping and data entry, maintaining accurate information in databases and systems.
  • Handle incoming/outgoing communications, including phone calls, emails, and mail, directing inquiries to the appropriate personnel.
  • Support implementation and adherence to company policies and procedures for smooth day-to-day operations.
  • Liaise with internal departments and external vendors to facilitate smooth operations and information flow.
  • Prepare reports, presentations, and other documents using Word and Excel proficiently.
  • Assist in event planning and coordination for company activities and meetings.
  • Manage and update employee records and HR-related documentation as needed.
