Jora Malaysia is seeking a detail-oriented Admin Executive to join our team. The role supports day-to-day office operations, recordkeeping, and administrative process improvement.
You will handle HR/payroll support, procurement, and executive assistance, coordinating meetings, calendars, and confidential documents.

We are looking for a detail-oriented and proactive Admin Executive to join our team. The ideal candidate is organized, reliable, and able to handle administrative tasks while supporting office operations. You will play a key role in daily office operations and ensuring accurate recordkeeping.
Oversee daily office administration and ensure smooth business operations.
Develop, implement, and maintain administrative policies, procedures, and documentation.
Manage office facilities, equipment, maintenance, and supplies.
Coordinate office vendors, service providers, and administrative contracts.
Maintain company records, filing systems, and confidential documents.
Organise company meetings, events, and administrative schedules.
Support recruitment activities, including interview coordination and onboarding.
Maintain employee records and HR documentation.
Monitor employee attendance, leave, claims, and overtime records.
Assist with performance appraisal administration and employee welfare initiatives.
Ensure compliance with labour laws and company HR policies.
Coordinate procurement activities, including sourcing quotations and issuing purchase orders.
Process supplier invoices and coordinate payments with the finance team.
Maintain procurement records and vendor databases.
Assist with budget preparation and expense tracking.
Support finance during audits by preparing required documentation.
Provide administrative support to senior management.
Manage executives' calendars, appointments, meetings, and travel arrangements.
Prepare reports, presentations, meeting agendas, and minutes.
Handle confidential correspondence and sensitive information professionally.
Coordinate follow-up actions arising from management meetings.
Support strategic projects and cross-departmental initiatives as assigned.
Bachelor's Degree or Diploma in Business Administration, Human Resource Management, Management, or a related field.
Minimum 3 years' experience in administration, office management, or operations, preferably in a senior administrative role.
Experience supporting HR, payroll, procurement, and finance functions is preferred.
Strong organisational and multitasking abilities.
Excellent communication and interpersonal skills.
High level of integrity and confidentiality.
Strong problem-solving and decision-making skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Experience with payroll, HRIS, or accounting software is an advantage.
Strong attention to detail and accuracy.
Ability to work independently and manage multiple priorities in a fast-paced environment.
