Jora Malaysia is seeking a capable Administrative & Operations Coordinator to oversee daily office operations, process payments, manage logistics, and liaise with government agencies. The role includes IT setup for new joiners, filing, and handling corporate documentation.

Oversee office administration and daily operations
Process company bill payments
Manage office maintenance matters and service providers
Handle office supplies and pantry items
Set up laptops, printers and basic IT arrangements for new joiners
Maintain proper filing system (physical & digital)
Prepare and manage corporate letters and official documentation
Handle ad-hoc administrative matters as requested by Management
Liaise with government agencies on regulatory and compliance matters
Handle inquiries and documentation related to Employment Pass and Customs matters
Coordinate submissions and follow-ups with relevant authorities
Manage full cycle of order processing from receipt of Purchase Order (PO) to final delivery to customer
Confirm orders with Sales team and coordinate delivery schedule
Liaise and negotiate with transporters and warehouse for delivery arrangements
Monitor shipment status and ensure timely delivery of goods
Handle warehouse coordination including storage, stock movement, and documentation
Prepare and manage stock for sampling from office inventory
Maintain office stock inventory including stock recording, stock count and reconciliation
Ensure all logistics documentation (DO, invoices, supporting documents) are properly recorded and filed
Monitor and verify billing related to logistics and warehouse charges
Manage cash sales collection and safekeeping of funds
Ensure all invoices are properly tallied and reconciled
Bachelor’s Degree or Diploma in Business Administration, Management, Office Administration, or a related field.
Minimum 5 years of relevant experience in administration or office management.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to communicate in English & Mandarin languages is a plus.
Good problem-solving skills and attention to detail.
Ability to work independently and under pressure.
Strong organizational and multitasking skills.
