We are looking for an Accounts & Sales Administration Officer to join our team. This role will support the daily sales order, invoicing, credit control, and reporting activities while coordinating closely with the Sales and Finance teams.
Key Responsibilities
Sales Order, Billing & Invoicing
- Process daily customer orders received through email, WhatsApp Web and B2B platforms.
- Retrieve Purchase Orders (POs) from major retail customer portals and coordinate with Sales Representatives.
- Check sales orders, trade deals and promotional pricing before preparing Delivery Orders (DOs) and Sales Invoices.
- Prepare invoices for local, stock transfer and East Malaysia accounts using AutoCount.
- Submit and match electronic invoices through B2B systems.
- Update invoice and delivery information in the shared transport log.
Credit Control & Customer Accounts
- Monitor customer outstanding balances and debtor aging.
- Update credit control and blocked debtor status on a weekly basis.
- Assist with credit limit adjustments and new customer/debtor account setup in AutoCount.
- Maintain proper filing of DOs and Sales Invoices, both physical and digital.
- Keep customer price lists updated in the system.
Finance & Reporting
- Perform monthly bank reconciliation for assigned company accounts.
- Prepare monthly SST listings for Finance review.
- Extract monthly sales data and prepare reports for the Finance Manager.
- Process customer/vendor FOC claim backs with the required supporting documents.
- Prepare monthly sales reports, including Agent Group Sales and Customer Sales by Salesman.
- Provide updated sales figures to Sales Representatives when required.
- Process cash customer orders when needed.
- Provide general administrative support to the Sales and Finance teams.
Requirements
- Minimum Diploma in Accounting, Finance, Business Administration or related field.
- At least 1–2 years of relevant experience in accounts, sales administration, invoicing or finance operations.
- Experience using AutoCount or other accounting software will be an advantage.
- Familiar with Microsoft Excel and Google Drive.
- Good attention to detail, especially when handling invoices, pricing and customer accounts.
- Able to work independently and manage multiple tasks.
- Good communication and coordination skills.
- Willing to learn and work closely with both Sales and Finance teams.
