Bootes Academy, based in Penang, Malaysia, seeks an Academy Development & Operations Associate to support programme development, partnerships and digital operations. You will coordinate coursework, learner communications, and project tracking in a dynamic, entrepreneurial environment.
Required is a Bachelor's degree with 2–5 years of relevant experience, fluency in English and Chinese/Cantonese, and strong organisational skills.
As Academy Development & Operations Associate, you will support the development and delivery of Bootes Academy's programmes, partnerships, communications and operational systems. You will work across a varied range of activities: research, programme coordination, content preparation, learner communication, project tracking, external coordination and digital operations. You will have visibility across the business and the opportunity to take on increasing responsibility as Bootes Academy grows. This role requires someone who is comfortable in an entrepreneurial environment: capable of working independently, managing detail, bringing structure to evolving projects and communicating confidently across cultures and languages.
Key responsibilities
Support the planning, development and launch of professional-development programmes, workshops, short courses and digital-learning products.
Coordinate programme operations, including schedules, registrations, learner communication, course materials, facilitator briefings, attendance and participant feedback.
Turn meetings, ideas and discussions into clear action plans, project trackers, briefs, deadlines and follow-up.
Conduct research on education trends, emerging skills, target audiences, market opportunities, potential partners, speakers, institutions and competitors.
Prepare professional presentations, proposals, programme outlines, workshop materials, briefing notes, reports and internal documentation.
Coordinate with trainers, speakers, clients, learners, designers, technology providers, suppliers and external partners.
Support the design of a high-quality learner journey, from first enquiry and registration through programme delivery, follow-up and relationship building.
Assist with website updates, newsletters, LinkedIn content, social-media coordination and basic marketing campaigns.
Maintain well-organised shared files, contact databases, CRM records, calendars, budgets, project trackers and standard operating procedures.
Support the use of AI, automation, CRM and digital tools to improve efficiency, communication and learner experience.
About you
Bachelor's degree in education, business, communications, international relations, management, design, social sciences or another relevant field. A master's degree is strongly preferred.
Approximately 2-5 years of relevant experience in programme coordination, education, training, consulting, project management, communications, marketing, events, start-ups or professional services.
Excellent written and spoken English.
Professional fluency in Chinese and/or Cantonese, including the ability to communicate confidently with Chinese-speaking learners, partners, facilitators, suppliers and stakeholders.
Strong organisational skills, excellent attention to detail and the ability to manage several workstreams and deadlines simultaneously.
Ability to work independently, exercise sound judgement, take ownership of tasks and follow through reliably.
Strong working knowledge of Google Workspace or Microsoft Office, including documents, spreadsheets, presentations, email, calendars and online collaboration.
Digital confidence and comfort using tools such as Canva, Notion, CRM platforms, project-management software, online meeting tools, content-management systems, learning platforms or AI productivity tools.
Professional discretion and the ability to handle confidential business and personal information responsibly.
Legal right to work in Malaysia, or the ability to obtain the required work authorisation.

Annual leave: 14 days from the first year of employment.
