About the Role
MAFAR Academy is a professional training and development company focused on delivering business, management and professional development programmes for healthcare professionals, clinic owners and healthcare teams.
We are looking for a Training Operations & Programme Executive to support the planning, coordination and execution of our training programmes, workshops, webinars and professional learning activities.
The role involves coordinating programme activities across participants, trainers, speakers, vendors and internal support teams, while supporting training documentation and HRD Corp-related administration to ensure programmes are properly prepared and delivered according to schedule.
The ideal candidate is organised, proactive, adaptable and capable of managing multiple priorities in a fast-paced working environment.
Key Responsibilities
Coordinate day-to-day operational activities for MAFAR Academy's training programmes, workshops, webinars and related learning activities.
Monitor programme readiness and ensure activities are carried out according to timelines, internal procedures and SOPs.
Identify operational issues, coordinate follow-up actions and recommend practical solutions.
Support the implementation of new programmes, operational initiatives and process improvements.
Training Administration & HRD Corp Support
Maintain training records, participant information, attendance records, programme documentation and supporting files.
Support HRD Corp-related training administration, including preparation and organisation of required documents, records and supporting information for submissions or claims.
Coordinate certificates, evaluation forms, training materials and post-programme documentation.
Ensure training documentation is complete, properly organised and readily available when required.
Coordinate participant registration, confirmations, reminders, attendance and programme-related communication.
Coordinate trainer and speaker schedules, programme requirements, materials and logistical arrangements.
Liaise with venues, vendors, catering, audiovisual providers and relevant external stakeholders where required.
Support physical and online programme execution, including registration, programme flow and operational troubleshooting.
Cross-Functional Coordination & Reporting
Coordinate with Digital Marketing, Creative, Finance, HR and other relevant teams to ensure programme requirements are completed on time.
Coordinate meetings and follow up on agreed action items and deadlines.
Provide regular programme and operational updates to Management.
Highlight delays, risks or matters requiring management attention.
Recommend improvements to programme operations, participant experience and internal workflows.
Support the adoption of digital tools and more efficient operational processes.
Participate in post-programme reviews and apply lessons learned to future programmes.
Perform other relevant duties related to programme and academy operations as assigned by Management.
Requirements
Diploma or Bachelor's Degree in Event Management, Business Administration, Hospitality, Education, Training Management, Project Management, Communications or a related field.
Preferably 1–3 years of relevant working experience in programme coordination, event operations, training operations, project coordination or a related role.
Experience working with a training provider, academy, corporate training company, education organisation or professional development business is strongly preferred.
Prior exposure to HRD Corp / HRDC administration, E-TRiS, training grants, claims or supporting documentation will be a strong advantage.
Experience coordinating workshops, seminars, conferences, webinars or professional training programmes will be an advantage.
Strong organisational, planning and time-management skills with good attention to detail.
Proactive, dependable and able to follow through on assigned responsibilities with minimal supervision.
Able to manage multiple priorities, deadlines and changing programme requirements in a fast-paced environment.
Strong communication and stakeholder coordination skills.
Good written and verbal communication skills in Bahasa Malaysia and English.
Comfortable using Microsoft Office, Google Workspace, spreadsheets, online forms, Zoom and Microsoft Teams.
Experience in healthcare, CME/CPD or professional education environments will be an added advantage.
Willing to work outside normal office hours occasionally when programmes, webinars or events require it.
Must have own transport and be willing to travel for programme activities, venue visits, meetings and events when required.
