Job summary

Advanced Energy is seeking a Shipping Coordinator to manage inbound and outbound shipments and coordinate with the logistics team to fulfill production orders and customer demand efficiently.

You will prepare shipments per plan, collaborate with 3PL partners, generate required shipping documents, and ensure customs compliance for exports/imports. Strong SAP skills and English/Spanish bilingual ability are essential in this role.

Qualifications

• Good knowledge in SAP, Logistics/Warehousing and Customs compliance.
• Good written and verbal communication skills in English and Malay.
• Good knowledge in Microsoft Office (Excel, Word, PowerPoint, Outlook).
• Prefer a strong independent personality with teamwork.

Responsibilities

• Work closely with Planner or Customer Advocate to prepare the shipment according to ship plan.
• Coordinate with 3PL Logistics team to identify goods based on inventory.
• Generate Delivery Note, Commercial Invoice and Packing List and other shipping documents.
• Understand shipping instructions for each order in system.
• Coordinate cargo pickup with freight carriers/forwarders per incoterm and track shipments.
• Ensure compliance for Export/Import and Bonded shipments.
• Work with 3PL to pick correct items per pull order.
• Monitor packing and shipment per schedule.
• Investigate and resolve shipment or warehouse issues.
• Collect and record data for KPI reports.
• File all shipping documents for audits.
• Adhere to quality, health and safety, and environmental policies.
• Other duties as assigned.

Shipping Coordinator

POSITION SUMMARY :

Responsible to manage all the inbound, outbound shipment and coordinate with logistics team to full fill production orders and meet customer demand in a timely manner. Independence and quick thinking of decision making.

RESPONSIBILITIES :

1. Work closely with Planner or Customer Advocate to prepare the shipment according to ship plan.

2. Coordinate and work closely with 3PL Logistics team to identify goods assigned based on inventory available.

3. Generate Delivery Note, Commercial Invoice and Packing List and other shipping related documents.

4. Understand shipping instruction given for each order request in system.

5. Coordinates for cargo pick up arrangement with various or selected freight carrier/forwarders based on the incoterm and keep track shipments movement.

6. Understand each customer requirement and Customs compliance for Export/Import and Bonded shipment.

7. Work with 3PL Logistics team to ensure pick the correct item based on pull order request.

8. Keep monitor and ensure the materials pack and ship as per schedule.

9. Investigates and / or fixes any problem arise with respective party either shipment or Warehouse issue.

10. Collect and record the data for KPI report.

11. Keep and file all the shipping related documents properly for audit purposes.

12. Adhere to organizational requirements on quality management, health and safety, code of conduct, legal stipulations, environmental, 5S policies and general duty of care.

13. Other duties as assigned.

WORK ENVIRONMENT :

• Work in standard office environment and used office equipment (phone, PC, copier, fax machine etc.)

• Works under limited supervision.

QUALIFICATIONS :

• Good knowledge in SAP, Logistics/Warehousing and Customs compliance.

• Good written and verbal communication skills in English and Malay.

• Good knowledge in Microsoft Office (especially Excel, Words, PowerPoint and Outlook).

• Prefer a strong personality with a dedicated, independent person and teamwork.

EXPERIENCE :

• Minimum three (3) years of experience in Supply Chain (Logistic/ Warehouse).

• Experienced in Logistic/Shipping/Warehouse is added advantage.

• Able to rectify the Customs related issue.

• Understanding of HTS code item classification.

• Understanding of Freight Incoterm.

• Able to run the SAP & KPI report any time upon request.

EDUCATION :

• Professional college degree in International Business Trade or related to Import/Export area, such as: International Relations, Accountant, Business Administration, Logistic etc.
