Job Title: Administrative Assistant
This position is remote and open to all over the country, but you'll be required to visit our offices in CDMX or GDL on the first day (expenses are covered by you)

Job Description:
The Administrative Assistant provides comprehensive administrative and operational support to Community Managers and General Managers, ensuring the smooth functioning of the association.
Essential Duties And Responsibilities
- Use Zendesk to process emails, calls, and chats, while maintaining all SLA’s.
- Assist Managers in completion of Action List items.
- Prepare Notices of Hearing for Manager’s review (suggested templates provided)
- Prepare Notice of Board Decision letters after a duly held Hearing for Manager’s review (suggested templates provided)
- Type minutes of meetings from recordings or use of AI tool as provided by Managers
- Handles invoice consolidation for manager review
- Assist with vendor compliance through VIVE or other third-party vendor compliance programs, including reaching out to vendors to update or add contact information
- Assist in preparation of all mass communication materials
- Support Manager with duties as requested, to ensure smooth operation of Associations assigned
Schedule
Monday to Friday
Standard: 10:30 am to 7:30 pm Mexico City time
Daylight: 9:30 am to 6:30 pm Mexico City time
Minimum Requirements
- High School Diploma
- An English CV is required
- Min. 50 Mbps Internet Speed
- Minimum (2) years of recent Administrative Assistant
- Minimum typing speed of 30 to 45 wpm
- Excellent knowledge of the English language (grammar and spelling). Capable of speaking effectively before customers or employees of organizations.
- Ability to read and interpret documents such as policy and procedure manuals. Skillful in creating routine reports and correspondence.
- Accurately proofread documents.
- Proficient in Microsoft Office (Word and Excel)
- Experience in using Zendesk is strongly preferred
