Job summary

Velotic is seeking an Order and Billing Lead to oversee accurate and timely customer invoicing. You will collaborate with Sales, Order Management, Revenue Accounting, and Tax to ensure invoices reflect contractual terms and internal policies while resolving issues before billing.

Qualifications

• Bachelor's degree in Accounting, Finance, Business, or a related field, or equivalent relevant experience.
• 8+ years of experience in billing, accounts receivable, accounting, or a related finance function.
• Strong attention to detail and accuracy.
• Ability to interpret contracts, purchase orders, and billing instructions.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Proficiency with Microsoft Excel.
• Experience working with an ERP or billing system.
• Experience with complex B2B or enterprise billing.
• Experience with software, SaaS, technology, professional services, or subscription-based businesses.
• Experience with NetSuite, Zone Billing or similar ERP/billing platforms.
• Experience with recurring, milestone, usage-based, or time-and-materials billing.
• Experience working with customer procurement systems or electronic invoicing portals.
• Experience supporting multi-site or multi-entity customers.

Responsibilities

• Prepare, approve and issue customer invoices in accordance with contractual terms, billing schedules, and customer requirements.
• Review sales orders, contracts, purchase orders, and supporting documentation to ensure billing is accurate and complete.
• Verify pricing, quantities, billing dates, payment terms, tax information, and other invoice requirements.
• Process recurring, milestone, usage-based, time-and-materials, and other types of customer billing.
• Coordinate with Order Management to ensure orders are properly established for accurate billing.
• Work with Revenue Accounting to ensure billing activity aligns with revenue recognition.
• Research and resolve billing errors, rejected invoices, and customer inquiries.
• Prepare credit memos, rebills, debit memos, and other billing adjustments.
• Monitor billing schedules and proactively identify invoices near or past due dates.
• Ensure invoices are delivered through portals or required channels.
• Maintain accurate billing documentation and customer records.
• Ensure accuracy of taxes on invoices.
• Assist with account reconciliations and GL research.
• Support month-end and year-end close activities for billing/receivable.
• Prepare billing reports and analyses of activity.
• Handle order-to-billing transactions and customer data in ERP.
• Identify recurring problems and recommend process improvements.
• Assist with audits related to customer billing.
