Panasonic Heating & Ventilation Air-conditioning Europe is seeking a Spare Parts Administrator in Piacenza to manage logistics operations, stock in remote locations, and coordinate deliveries with sales and service teams.

The role requires ERP experience, advanced Excel skills, and strong English communication to support efficient order fulfillment and inventory control.

Competenze

• Formal education as logistics specialist, or equivalent working experience.
• Minimum 3+ years’ experience with ERP data (e.g. SAP, Oracle).
• Advanced Excel skills.
• Strong command of English.
• Knowledge of logistics processes and technologies.

Mansioni

• Answer logistics related questions from sales/service colleagues and customers to ensure a smooth delivery process; troubleshoot and follow up inquiries until resolution.
• Process and arrange book-ins with customers and schedule deliveries to arrive on-time.
• Advise sales/service teams on available logistics services to meet specific shipping requirements.
• Maintain and coordinate load planning with warehouse and transport provider via supply chain platforms.
• Managing stock levels in remote stock locations for spare parts and accessories.
• Ensure reliable stock bookings in remote locations, conduct periodical stock counts and document for audits.
• Develop system knowledge to be first contact for stock/consumption inquiries and material movement records.
• Provide up-to-date shipment status by checking carrier tracking, load planning files, and direct forwarder contact.
• Identify return inquiries and process them until goods are returned and credit issued.

WHAT YOU WILL BE DOING

Responsibilities & Duties

• Answer logistics related questions from sales/service colleagues and customers to ensure a smooth delivery process. Engage in troubleshooting and follow up inquiries in a structured way until the case has been resolved.
• Process and arrange book-ins with customers and schedule deliveries to arrive on-time.
• Advise sales/service teams on available logistics services to meet specific customer shipping requirements (e.g. route coding).
• Maintain and coordinate load planning processes with the warehouse and transport provider through supply chain collaboration platforms.
• Managing the stock levels in remote stock locations for spare parts and accessories
• Ensuring reliable stock bookings in remote stock locations, conduction periodical stock counts and document these for internal audits.
• Develop system knowledge to become first point of contact in inquiries related to stock/consumption and material movement records generated for processes running with remote stock locations.
• Takes the necessary steps to provide accurate and up-to-date information about the status of shipments by checking multiple sources such as carrier web tracking, load planning files, excel reports or leveraging direct contact to the forwarder.
• Identify return inquiries and process them until goods are received back at the warehouse and the customer has received his credit. Process claims against third party logistics providers using the SAP Claim Handling System and follow up the created Accounts Receivables.

WHAT WE ARE LOOKING FOR

• Formal education as logistics specialist, or equivalent working experience, preferably in spare parts operation.
• Minimum 3+ years’ experience in working with data from ERP systems (e.g. SAP, Oracle etc.)
• Advanced Excel skills
• Strong command of the English language
• Proficient understanding and know how in logistics processes, technologies
