Your role and responsibilities

We are looking for someone who is organized, proactive, and adaptable, with experience in structured, international environments — ideally within the financial or banking sector - and is used working in a fast-paced, demanding environment.

In this role, you will need to combine discretion, reliability, and problem-solving skills. You’ll be working closely with senior stakeholders, making sure their needs are anticipated and handled with professionalism.

Main tasks will include:

  • Manage calendars, schedule meetings, and coordinate complex appointments and events
  • Organize and oversee travel arrangements, including flights, accommodation and itineraries;
  • Screen and manage communications, including emails and phone calls, ensuring timely responses;
  • Draft correspondence and prepare documentation with accuracy and attention to details;
  • Manage client and stakeholder relationships with professionalism and discretion;
  • Support project management and ensure deadlines are met;
  • Prepare and process expense reports, invoices, and light bookkeeping tasks;
  • Collaborate effectively with internal teams across the Firm to facilitate smooth operations;
Your Skills
  • 2/3 years of experience in a personal/team assistant role, ideally in structured international companies
  • Positive, dynamic and professional attitude, with strong interpersonal skills
  • Highly reliable, trustworthy, and discreet — confidentiality is essential
  • Strong organizational and time-management skills, with a hands-on approach and ability to work under pressure
  • Precise, detail-oriented, and able to manage last-minute changes effectively
  • Proactive problem-solver who anticipates needs and takes initiative
  • Flexible and collaborative, with excellent written and verbal communication skills
  • Fluent in English and Italian (both written and spoken)
  • Comfortable using technology and digital tools, with the ability to adapt to new systems quickly
