Essity is seeking a Payroll Specialist based in Legnano to manage master data, time and attendance, and end-to-end payroll processes for a diverse workforce across Legnano and Lucca sites.

You will ensure compliance with labor, tax, and social security regulations, while partnering with HR, Finance, and external providers. English and Italian fluency, strong Excel skills, and 3+ years of payroll experience are required.

Competenze

  • Italian or European degree in Economics, Law, HR or equivalent.
  • At least 3 years of payroll experience in a structured org or payroll provider.
  • Strong knowledge of labor, tax and social security regulations, collective agreements, and compensation practices.
  • Detail-oriented, analytical, and committed to accuracy and compliance.
  • Excellent numerical skills and payroll data analysis/reporting with advanced Excel.
  • Familiar with HR/payroll systems; Workday, SAP and Zucchetti advantageous.
  • Clear communication with diverse stakeholders; ability to explain complex topics simply.
  • Proactive mindset with focus on continuous improvement, prioritization, and deadlines.
  • Fluent in English and Italian; willingness to travel to Altopascio (LU) site during onboarding.

Mansioni

  • Manage and maintain employee master data across the lifecycle.
  • Handle Time & Attendance, including absences, vacations, overtime, and other time transactions.
  • Oversee end-to-end payroll processing: salaries, taxes, social security, benefits, allowances.
  • Review payroll results with controls and reconciliations; coordinate corrections.
  • Support year-end payroll activities and statutory obligations (CU, 770, INAIL).
  • Collaborate with Finance on monthly/annual closings, accruals, and labor cost accounting.
  • Provide specialist payroll and HR administration support to stakeholders.
  • Manage relationships with external payroll providers for continuity and issue resolution.
  • Prepare payroll analyses and reports for HR, Finance, Audit, budgeting, and forecasting.
  • Monitor regulatory developments and drive process/system improvements.
  • Support fleet administration and act as contact for Legnano-based employees.

At Essity, we believe that every employee experience matters. As a Payroll Specialist , you will help ensure an accurate, compliant, and people-centered payroll service, supporting a workplace built on trust, accountability, and operational excellence. Essity Italy employs approximately 1,000 people across our manufacturing sites in the Lucca area and our commercial headquarters in Legnano. This position is based at our office in Legnano and will be part of an existing team of four people.

In this role, you will serve as the key point of reference for complex payroll matters, working closely with HR, Finance, employees, and external providers to ensure efficient processes, regulatory compliance, and continuous improvement. You will support a diverse employee population, including both office-based and manufacturing employees, helping to deliver a consistent and high-quality employee experience across the organization.

What You Will Do
  • Manage and maintain employee master data throughout the entire employee lifecycle, ensuring accuracy, quality, and data integrity.

  • Manage Time & Attendance processes, including attendance, absences, vacation, sick leave, overtime, and other working time-related transactions.

  • Manage the end-to-end payroll process, ensuring the accurate handling of salaries, taxes, social security contributions, benefits, allowances, and other compensation elements.

  • Review and validate payroll results through controls and reconciliations, coordinating any required corrections.

  • Support year-end payroll activities and statutory obligations, including Tax Certification (CU), Form 770, INAIL requirements, and other regulatory compliance activities.

  • Partner with the Finance team on monthly and annual closing activities, including accrual management and labor cost accounting.

  • Provide specialist support to HR and internal stakeholders on payroll, personnel administration, and labor law matters.

  • Manage relationships with external payroll providers, ensuring service quality, operational continuity, and timely issue resolution.

  • Prepare payroll analyses and reports for HR, Finance, Audit, budgeting, and forecasting purposes, supporting data-driven decision-making.

  • Monitor regulatory developments and contribute to the continuous improvement of payroll processes, HR/Payroll systems, and cross-functional projects.

  • Support the car fleet administrator with fleet management activities and act as a key point of contact for employees based at the Legnano office

Who You Are
  • You hold a degree in Economics, Law, Human Resources, or an equivalent combination of education and professional experience.

  • You have at least 3 years of payroll experience gained within a structured organization or a specialized payroll provider.

  • You possess strong knowledge of labor, tax, and social security regulations, collective bargaining agreements, and compensation and benefits practices.

  • You are detail-oriented, analytical, and quality-focused, with a strong commitment to accuracy and compliance.

  • You have excellent numerical skills and solid experience in payroll data analysis and reporting, with advanced proficiency in Excel.

  • You are familiar with HR and payroll systems; knowledge of Workday, SAP, and/or Zucchetti is considered a strong advantage.

  • You can communicate clearly and effectively with a wide range of stakeholders and explain complex topics in a simple and understandable way.

  • You demonstrate a proactive mindset, with a strong focus on continuous improvement, innovation, and effective management of priorities and deadlines.

  • You are fluent in both English and Italian

  • You are required to be available for regular travel to the Altopascio (LU) site, especially during the initial onboarding and training period
