Job Description: Warehouse Management System (WMS) User Cold Storage
Job Title: Senior Assistant Operation Cold Storage

Job Purpose: The WMS User is responsible for operating and maintaining the Warehouse Management System to ensure accurate inventory management, seamless warehouse transactions, and efficient execution of inbound, storage, picking, and outbound operations in a temperature-controlled cold storage environment. The role ensures inventory accuracy, traceability, and compliance with customer and company standards.
Key Responsibilities
Inbound Operations
- Create and process Goods Receipt (GRN) in the WMS.
- Verify inbound documentation against physical receipts.
- Assign storage locations (put-away) as per system recommendations.
- Ensure batch number, manufacturing date, expiry date, and lot details are accurately captured.
- Coordinate with warehouse operations for timely unloading and put-away.
Inventory Management
- Maintain accurate inventory records in the WMS.
- Perform stock transfers, location changes, and inventory adjustments with proper authorization.
- Conduct daily, weekly, and monthly cycle counts.
- Support physical stock audits and investigate inventory discrepancies.
- Monitor FEFO/FIFO compliance for all inventory movements.
Outbound Operations
- Process customer orders in the WMS.
- Generate pick lists and packing lists.
- Confirm picking, staging, and dispatch transactions.
- Generate dispatch documentation and shipment reports.
- Ensure accurate batch allocation and traceability before dispatch.
System Operations
- Execute all warehouse transactions accurately in the WMS.
- Monitor transaction queues and resolve system exceptions.
- Coordinate with IT and WMS support teams for issue resolution.
- Maintain master data accuracy, including product codes, locations, and customer information.
- Support WMS testing and implementation of new processes or enhancements.
Reporting
- Prepare daily inventory and operational reports.
- Track inbound, outbound, storage utilization, and inventory accuracy KPIs.
- Report system issues, stock variances, and operational exceptions to management.
Compliance & Safety
- Follow all cold storage SOPs and customer requirements.
- Ensure compliance with food safety, hygiene, and quality standards.
- Maintain accurate documentation for audits and traceability.
- Adhere to warehouse safety procedures while working in temperature-controlled environments.
Required Qualifications
- Graduate in any discipline (preferred).
- Diploma or certification in Supply Chain, Warehouse Management, or Logistics is an advantage.
Experience
- 25 years of warehouse operations experience.
- Minimum 2 years of experience using a Warehouse Management System.
- Experience in cold storage, FMCG, food, pharmaceutical, or temperature-controlled logistics is preferred.
Technical Skills
- Hands‑on experience with WMS platforms (SAP EWM, Manhattan, Blue Yonder/JDA, Infor, Oracle WMS, or similar).
- Good knowledge of inventory control processes.
- Proficiency in Microsoft Excel and Microsoft Office.
- Understanding of barcode scanners, handheld RF devices, and label printers.
