Job summary

Alpha Exim Management is seeking an organized logistics professional to manage receiving and shipping operations. You will coordinate material intake, tagging, GRN entries in RCS, and prepare daily reports of issued items with tag details for the User Team.

The role requires strong communication, the ability to learn quickly, and the capacity to supervise a team both physically and mentally to ensure smooth, timely and compliant shipments and swift resolution of discrepancies.

Responsibilities

• Receive materials, identify issues and resolve them independently.
• Learn the entire process quickly to perform duties efficiently.
• Maintain excellent communication with user teams and procurement.
• Manage the receiving team physically and mentally to ensure smooth operations.
• Prepare daily reports of issued materials with tag details.
• Enter GRN for bonded and non-bonded items in RCS.
• Tag materials and hand GRN to the respective team.
• Report discrepancies to procurement, logistics and vendors within one day.
• Communicate updates to User Team.
• Coordinate collection of materials for dispatch and packing.
• Pack small items and arrange external packing for large items.
• Label shipping addresses on boxes and ensure accuracy.
• Obtain Fumigation Certificate for wooden packaging when required.
• Prepare ETR and shipping documents (SLI, invoice if required, ETR, declarations).
• Book courier services and track AWB references with recipients.
• Send AWB to user and print gate pass on RCS.
• Follow up on temporary shipments.

RECEIVING

1. Ability to handle the difficulties & to solve individually.

4. Mange the team physically & mentally.


5. Send the Asset Manager to collect the material List on daily basis.


6. Prepare the Report of list of Material Issued to User Team with Tag Details. On Daily basis.


7. Make Entries of GRN of bonded and Non bonded Items in RCS.


8. Tagging the materials.


9. Hand over the GRN to respective Team.


10. Report discrepancies, if any to procurement team, logistics and vendors within a day of receiving materials


11. Communications to User Team.

SHIPPING

1. Taking care of collect the materials to dispatch.


2. Packs small materials and uses an external vendor to pack large materials


3. Stick the shipping Address on the Box


4. Get Fumigation Certificate when the Materials are going in wooden Box


5. Preparation of ETR


6. Preparing the Documents for shipping i.e. SLI, Invoice(if Required), ETR, Declaration etc.,


7. Booking the Courier


8. Ensuring the materials collected by courier and takes the AWB Ref.


9. Send the AWB reference to the user / User Team.


10. Prints gate pass on RCS
