Job summary

Rithwik Projects Private Limited seeks an experienced Overall Stores Manager to lead the stores and material management at the project site, ensuring receipt, storage, preservation and accurate accounting of all materials. You will coordinate with procurement, QA/QC and suppliers, maintain optimum inventory levels, and oversee ERP/SAP updates across large-scale construction projects.

Lead a team of store personnel, enforce safe handling and proper stock reconciliations, and ensure compliance

Qualifications

• Graduate or Diploma in Engineering, Materials Management, Logistics or related discipline.
• 20 to 25+ years of relevant experience on large construction projects.
• Strong experience in project stores, inventory control, material reconciliation and warehouse management.
• Knowledge of ERP/SAP or other inventory management systems.

Overall Stores Management

• Lead and manage the complete stores and material management function at the project site.
• Ensure systematic receipt, inspection, storage, preservation, issue and accounting of all project materials.
• Establish effective systems for material control, traceability and inventory management.

Material Receipt & Inspection

• Coordinate with Procurement, QA/QC and suppliers for receipt of materials at site.
• Verify materials against Purchase Orders, delivery challans, specifications and approved quantities.
• Ensure proper inspection, documentation and recording of incoming materials.
• Identify and segregate damaged, rejected, excess or non-conforming materials.

Inventory Management

• Maintain optimum inventory levels based on project requirements and construction schedules.
• Monitor stock of critical materials, consumables, spares, tools and equipment.
• Avoid stock-outs, excess inventory, material deterioration and unnecessary blocking of working capital.
• Conduct regular physical stock verification and reconcile physical and system quantities.

Material Storage & Preservation

• Ensure proper storage and preservation of cement, steel, admixtures, electrical materials, mechanical components, pipes, cables, lubricants, spares and other project materials.
• Follow appropriate FIFO/FEFO practices wherever applicable.
• Ensure proper stacking, identification, tagging, binning and location marking of materials.
• Maintain safe and weather-protected storage arrangements, particularly for critical materials.

Material Issue & Control

• Ensure materials are issued only against approved Material Requisitions/Material Issue Notes.
• Monitor material consumption against approved BOQ, budgets and construction requirements.
• Maintain proper records of material issues, returns, transfers and consumption.
• Control unauthorized issues, wastage and pilferage.

Project Material Planning

• Coordinate with Planning, Procurement, Construction, Engineering and QA/QC teams for upcoming material requirements.
• Review material availability against project schedules and construction milestones.
• Provide timely information regarding shortages, excess stock and slow-moving materials.
• Support advance planning for critical and long-lead materials.

ERP & Documentation

• Ensure accurate and timely updating of all material transactions in ERP/Inventory Management systems.
• Maintain Goods Receipt Notes (GRN), Material Receipt Notes, Material Issue Notes, Stock Registers, Return Notes and Transfer Records.
• Maintain complete documentation for audit and management review.
• Ensure proper material coding, categorization and identification.

Material Reconciliation

• Conduct periodic reconciliation of major materials such as cement, steel, aggregates, admixtures, fuel, cables, pipes and other high-value items.
• Compare material receipts, issues, returns, consumption and closing balances.
• Investigate and report discrepancies, abnormal consumption and material losses.

Scrap & Surplus Material Management

• Identify and maintain records of scrap, surplus, obsolete and unserviceable materials.
• Ensure proper segregation and safe storage of scrap materials.
• Coordinate with authorized departments for disposal, auction, transfer or return of surplus materials.
• Maintain proper documentation of disposal and realization.

Coordination with Procurement & SCM

• Coordinate with Procurement and SCM teams for material delivery schedules and priorities.
• Provide stock and consumption data to support procurement decisions.
• Ensure materials are received according to approved specifications and quantities.
• Highlight delayed, short-supplied or damaged materials to the concerned departments.

Safety & Housekeeping

• Ensure safe working conditions within stores, yards and material handling areas.
• Maintain proper housekeeping, access routes, stacking arrangements and fire-safety measures.
• Ensure safe handling of heavy materials, chemicals, lubricants and other hazardous items.
• Ensure availability and proper use of PPE by stores personnel.

Stores Yard & Material Handling

• Manage project stores, open yards, warehouses and temporary storage areas.
• Ensure proper use of forklifts, cranes, loading/unloading equipment and other material-handling facilities.
• Optimize storage space and improve material accessibility.
• Ensure proper loading, unloading and internal movement of materials.

Team Management

• Lead and supervise Store Officers, Storekeepers, Inventory Controllers, Helpers and material-handling personnel.
• Prepare manpower deployment and shift schedules as required.
• Train the stores team on inventory control, documentation, ERP, safety and material handling.
• Monitor discipline, productivity and performance of the stores team.

MIS & Management Reporting

• Prepare daily, weekly and monthly Stores MIS reports.
• Report material receipts, issues, consumption, stock position, shortages, surplus, slow-moving items and critical inventory.
• Provide management with material availability reports linked to project execution requirements.
• Highlight key stores-related risks and corrective actions to the Project Head.

Audit & Compliance

• Ensure compliance with company stores procedures, internal controls and delegation of authority.
• Coordinate with internal and external auditors during stock verification and audits.
• Ensure proper documentation and traceability of all material transactions.
• Implement corrective actions arising from audits and stock verification.

Preferred Qualification & Experience

• Graduate / Diploma in Engineering, Materials Management, Logistics, Supply Chain or related discipline.
• 20 to 25+ years of relevant experience, preferably in Hydro Electric, RCC Dam, Hydropower, Infrastructure, EPC or large construction projects.
• Strong experience in project stores, inventory control, material reconciliation and warehouse management.
• Experience in remote/large project-site stores and open-yard management will be preferred.
• Knowledge of ERP/SAP or other inventory management systems.
