Job summary

Shop Your Trip is seeking a Visa Executive in Delhi to manage tourist visa applications end-to-end for holiday clients across destinations like Schengen, UK, USA, Canada, Australia, and more. The role interfaces with sales and operations and serves as the single point of contact for visa matters.

You will advise on requirements, prepare documents, submit applications, book biometrics, track status, and handle refusals while ensuring timely departures and strict confidentiality.

Qualifications

• Working knowledge of tourist visa procedures for Schengen, UK, USA, Canada, Australia, Japan, UAE, Singapore, Thailand and Malaysia.
• Clear spoken and written English and Hindi for client calls, emails and cover letters.
• Proficient with MS Excel or Google Sheets and online application portals.
• Able to handle 20–30 live files at a time without missing a date.
• Maintain confidentiality and integrity: the role handles passports and sensitive data every day.

Responsibilities

• Advise clients on visa requirements, fees, processing time and interview needs for their destination.
• Share destination-wise document checklists and verify every document received for completeness and accuracy.
• Fill and submit online visa application forms on VFS Global, BLS, TLScontact and embassy or consulate portals.
• Book biometric and appointment slots and brief clients on what to carry on submission day.
• Prepare supporting documents: cover letters, day-wise itineraries, flight and hotel bookings for visa purposes, travel insurance, sponsorship letters and NOCs.
• Submit and collect applications and passports at VFS centres or consulates, with a signed handover record each time.
• Track the status of every application and update the client and the sales team at each stage.
• Coordinate with embassies, consulates and visa centres on queries, additional document requests and delays.
• Maintain the visa tracker: client name, destination, submission date, expected date, outcome and fees collected.
• Handle refusals: explain the reasons to the client, advise on reapplication or appeal, and prepare the revised file.
• Stay updated on rule changes, new visa types (e-visas, ETAs) and fee revisions, and inform the sales team.
• Meet agreed turnaround times so that no departure is missed because of a visa delay.
• Collect visa fees and service charges and reconcile them with the accounts team.

The Visa Executive handles tourist visa applications end-to-end for Shop Your Trip's holiday clients, from the first document checklist to the passport handover, so that every traveller holds a valid visa before departure. The role covers Schengen, UK, USA, Canada, Australia, Japan, UAE, Singapore and other leisure destinations. It works closely with the sales and operations teams and is the client's single point of contact for all visa matters.

Experience Required:2–3 Years
