Qualifications

• Graduate with exposure to tender handling in pharma preferred.
• Experience with government/institutional tenders is advantageous.

Responsibilities

• Identify tender opportunities from government portals and institutions.
• Prepare and submit online and offline tender documents within deadlines.
• Coordinate with regulatory, accounts, production, QC and logistics teams for required data.
• Ensure accurate preparation of technical bids, commercial bids, BOQs, and compliance sheets.
• Maintain tender records, EMDs, PBGs, and bid status.
• Track tender openings, corrigendums, clarifications and results.
• Assist in order execution documentation after tenders are won.
• Prepare periodic management reports on tender activity.

Experience in government, institutional, and hospital tenders will be an advantage

Job Summary

We are looking for a Tender Filling Executive to manage end-to-end tender-related activities for our pharmaceutical business. The candidate will be responsible for identifying tender opportunities, preparing and submitting bids, ensuring compliance with tender requirements, and coordinating with internal departments for accurate and timely submissions.

Key Responsibilities

Sales & Business Development:

• Search, identify, and download relevant pharma tenders from government portals (GeM, CPPP, state medical services corporations, hospitals, institutions, etc.)
• Analyze tender documents, eligibility criteria, and technical/commercial requirements
• Prepare and submit online and offline tender documents within deadlines
• Coordinate with regulatory, accounts, production, QC, and logistics teams for required documents and data
• Ensure accurate preparation of technical bids, commercial bids, BOQs, and compliance sheets
• Maintain records of submitted tenders, EMDs, PBGs, bid status, and results
• Handle EMD, tender fees, bank guarantees, and related documentation
• Track tender openings, corrigendums, clarifications, and results
• Follow up on awarded tenders and assist in order execution documentation
• Maintain a tender database and prepare periodic reports for management
• Ensure full compliance with company policies and tender guidelines

Required Skills & Competencies

• Strong knowledge of pharma tendering process
• Familiarity with GeM portal and government e-procurement portals
• Good understanding of pharmaceutical products, regulatory documents, and pricing
• Excellent attention to detail and documentation accuracy
• Ability to manage multiple tenders simultaneously
• Good communication and coordination skills
• Proficiency in MS Excel, Word, PDF tools, and online portals
